The Executive Assistant will support two Vice Presidents and will be responsible for the administrative and executive support for this team and organization. The right candidate for this role will be resilient despite adversity, have the ability to complete a high volume of tasks with creative resourcefulness and little guidance, strong attention to detail, agility, the ability to exercise good judgment, and confidentiality.


Responsibilities:


  • Plan recognition and team events
  • Order supplies and equipment along with other office management duties
  • Prepare reports to be shared with leaders and stakeholders
  • Manage highly confidential correspondence and information with the utmost discretion
  • Attend meetings to take notes as well as follow up on action items
  • Work closely with the Executive on activities, projects, meetings, event planning, and office logistics
  • Prepare professional PowerPoint Decks
  • Ensure the executive is prepared for meetings and events
  • Book Travel for your leader and/or team and build travel itineraries
  • Research and report on specific topics as required
  • Coordinate onboarding/offboarding of team members
  • Thoughtfully manage complex calendars
  • Partner and consult with your leader in high-level discussions
  • Manage project tracking and follow-up


Qualifications:


  • Generally tech-savvy and willing to learn new skills
  • Strong proficiency with standard office tools such as Microsoft Outlook, Word, PowerPoint, Excel
  • Ability to take initiative and anticipate needs
  • Prior work experience in a support or administrative role
  • Professional and highly discreet while maintaining absolute confidentiality
  • A minimum 3 years of experience supporting business executives in large organizations in an administrative role
  • Extremely well organized and attentive to detail
  • Ability to be proactive, resourceful, flexible, and responsible
  • Effective communication skills, including diplomatic and professional handling of telephone and email communications


Preferred Education:


  • Bachelor’s degree


The hiring range for this position in New York, NY is $56,829 to $78,140 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
