Position Summary
Healthcare Georgia Foundation seeks an Executive Assistant and Governance Coordinator. Reporting directly to the Director of Operations, the Executive Assistant (EA) will be responsible for providing high level administrative support for the President, including interacting with members of various communities, undertaking several aspects of office management, and ensuring that the President can dedicate their time and attention to critical matters. The EA also serves as the primary organizational contact for the Board of Directors. The position is exempt.

Essential Duties & Responsibilities
  • Coordinates activities for the President, including screening incoming calls and incoming and outgoing correspondence, and preparing correspondence and reports for review.
  • Functions as the Foundation’s parliamentarian and maintains accurate and up-to-date records pertaining to governance and Board of Directors matters. Organizes and manages all Board files including Board meeting and committee minutes, Foundation governance, and historical Board information. Manages electronic board platform.
  • Supports the smooth functioning of Board of Directors meetings including director travel arrangements, meeting logistical planning, technology support prior to and throughout meeting, and coordinating expense reimbursement.
  • Coordinates internal and external meetings of importance to the President. Assists in agenda development, invitations, and logistics processes.
  • Maintains the President’s schedule, makes travel arrangements, prepares expense reimbursements, coordinates presidential initiatives/discretionary grants, assists in development and preparation of presentation materials, and completes special assignments.
  • Supports the day-to-day operations and other administrative duties as needed.
Requirements
Minimum Experience: At least 5 years of experience in an executive level support role required. Significant interactions with a Board of Directors preferred
  • Interpersonal – Strong interpersonal skills with proven ability to handle sensitive and confidential situations. Position requires tact and diplomacy.
  • Time Management – Effectively manages time as a resource. Gives balanced attention to long-term and short-term priorities
  • Administrative – Demonstrated competence and initiative in office management including document and records control, typing and proofreading, multi-tasking and organizational skills
  • Communication – Excellent analytical, verbal, and written communication skills
  • Prioritization – Coordinates and organizes resources in efficient and effective ways to accomplish larger strategies and goals.
  • Skills and Abilities:
  • Computer – Advanced skills in Outlook, Word, and PowerPoint, proficiency with various virtual meeting platforms.
  • Flexibility – Adaptive behavior in dealing with changing situations and people. Must be open-minded and willing to adjust priorities in response to unanticipated events.
  • Independence – Ability to effectively move projects forward with an innate understanding of when to ask questions or bring in other resources
