Job Description
Join our dynamic team at Visit [City Name] as an Event Coordinator! If you have a passion for planning and organizing extraordinary events, this role is perfect for you. As an Event Coordinator, you will play a pivotal role in supporting our Group/Convention department by assisting with tradeshows, conferences, familiarization tours (FAMS), and hospitality events. Working closely with our Vice President, Group/Convention Sales, Event Manager, and the Visit [City Name] sales team, you will contribute to creating exceptional experiences for our clients and attendees.

Minimum Qualifications
Bachelor's degree, preferably in event planning, hospitality management, marketing, or sales.
Two to three years of experience in a tradeshow/event planning support role.
Proven project management skills.
Preferred Qualifications
Experience in event planning or tradeshow management.
Certified Meeting Planner/Professional (CMP) designation.
Background in the hospitality industry.
Key Responsibilities
Assist in executing tradeshows and events as directed by your supervisor.
Collaborate with the Accounting team to ensure timely processing of invoices and requisitions for each event.
Maintain and manage the official Visit [City Name] tradeshow exhibits, banners, and storage.
Provide support for volunteer initiatives.
Attend events on-site to meet staffing and client needs.

Additional Responsibilities
Cultivate positive relationships with Visit [City Name] partners and vendors.
Conduct research on tradeshows and potential sponsorship opportunities.
Utilize the Visit [City Name] CRM event management system to track all events.
Stay knowledgeable about the tourism offerings in metropolitan [City Name].
Adhere to established Visit [City Name] policies, procedures, and budgets for all assignments.
Qualifications And Skills
Familiarity with function space capabilities, capacities, and setup procedures.
Excellent organizational skills, including effective time management, prioritization, multitasking, and meeting deadlines.
Ability to create menus and calculate costs based on the number of attendees for budgeting purposes.
Self-motivated and capable of working independently with minimal supervision.
Capable of performing light to medium physical work, including lifting and carrying up to 25 lbs (occasionally up to 50 lbs).
Comfortable working in various conditions, including occasional exposure to outdoor environments in varying weather conditions.
Maintain a positive and professional work attitude, fostering productive relationships with internal and external stakeholders.
Proficient in using video conferencing software and other remote work tools.
Strong written and verbal communication skills in English.
Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
Experience with customer relationship management (CRM) technology and willingness to learn new systems.
Flexibility to work weekends and outside of regular work hours, as required.
Possession of a valid, unrestricted Michigan driver's license.
