General Information & Responsibilities
The Enrollment Services Specialist – Registration/Records is responsible for student registration and the academic records process including maintaining electronic records, managing wait lists, issuing transcripts, performing data entry, and providing appropriate personnel with necessary information.
Description of Duties
Description Of Essential Duties
  • Follows FERPA compliance by maintaining confidentiality, security, and permanency of academic records and student information.
  • Monitors wait lists and notifies students via email regarding status.
  • Manages online transcript request downloads using the National Student Clearinghouse and issues student transcripts upon proper request, following up with processing as needed.
  • Registers students for college coursework, by processing course adds, drops, cancellations, and reinstatements.
  • Coordinates registration and transcript delivery, to either high schools or colleges, for students who are dually admitted and/or participating in specially linked programs.
  • Enters academic records into Banner, as needed, for students who attended prior to 1992.
  • Maintains a working knowledge of all job-related modules in the Banner student database system, including document imaging.
  • Provides student information to authorized agencies, such as National Student Clearinghouse, requesting enrollment and degree certification or verification.
  • Stationed at the front counter, this position answers phone calls, replies to emails using department email inbox, and provides customer service to students and visitors.
Description Of Other Duties
  • Assists students with online registration problems.
  • Assists the Registrar in the development and implementation of procedures related to admissions, registration, and academic records.
  • Assists with training departmental staff, including student workers.
  • Performs other job-related duties as assigned.
  • Researches information for discrepancies such as addresses, social security numbers, etc.
  • Provides good customer service and disseminates information to customers served by Enrollment Services (e.g. in person, via phone, email, mail, etc.).
  • Provides information from student records to academic and faculty advisors.

Education & Experience
EDUCATION AND EXPERIENCE: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)
  • Ability to perform accurate data entry into a database required.
  • Experience using Microsoft Office software which includes proficiency in Word, Excel, and Outlook required.
  • Associate's degree or a minimum of 60 college credit hours required.
  • Excellent verbal and written communication skills required.
  • Knowledge of Banner student information system preferred.
  • Previous front-line customer service experience required.
  • Demonstrated ability to organize workload and follow through on assignments with minimum supervision required.
  • At least three years of experience working in an office setting performing clerical work required.
  • Demonstrated experience working with confidential records and information required.
