JOB SUMMARY: The Employee Experience & Administrative Assistant is responsible for assisting in the day-to-day operations of the administrative offices including recruiting, onboarding, employee relations, and administrative HR clerical duties. He/she is also responsible for processing associate information, responding to inquiries, greeting all visitors to the executive office, coordinating all employee events, training, and incentive programs. The position will report to the Controller and will be supported by the H.R. specialists at ProService, which is the professional employment organization for The LineUp at Wai Kai. DUTIES/RESPONSIBILITIES: Recruitment and Talent Acquisition Assist in general hiring needs, including writing job descriptions, posting to online job boards, representing the company at off-site job fairs, coordinating on-site job fairs, performing initial applicant screening, and forwarding qualified candidates to the respective hiring manager to begin the interview process. Coordinate with the hiring manager on the internal interview process, final candidate selection, reference checks, and job offer execution. Process new hires and ensure all required paperwork is complete and the information is entered in the company's hiring program (iSolved by ProService). Coordinate all new-hire orientation sessions, guest service training, and any management development programs. Act as the primary point of contact with ProService for all aspects of human resource management. Employee Relations Plan and organize employee events and spontaneous celebrations. Assist with the design and implementation of employee morale and incentive programs. Coordinate with department managers for annual employee training, review all disciplinary action for compliance with company disciplinary policy. Counsel employees on work-related and personal matters when requested by management. Conduct exit interviews with all employees. Assist with reception area duties: greeting associates, managers, and potential new hires. Manage Employee Relations Events (coordination, ordering, planning, awards, vendor management, etc.). Keep employee bulletin boards current, post memos, pictures of employee events, loss prevention materials. Assist with other special projects as needed. Office Administration Maintain inventory of office and H.R. supplies on a regular basis. Complete purchase orders needed to replenish such supplies. Must be able to maintain confidentiality of personal and business information. Able to set priorities, plan, organize, and delegate task as needed. Track expenses, prepare executive expense reports, and assist the executive team with administrative tasks. Assist in preparing executive presentations.
