Job Description
The individual in this position is key to the daily document matters addressed in the EC&O Department. The EC&O Document Specialist drafts, revises, and assembles all documents, plans, agreements, and presentations. This individual assists the EC&O team with corporate matters, presentations, permitting, or contract issues. The EC&O Document Specialist does not provide legal advice but does advise and assist project teams with documentation, contract milestones, permits, and written communications, including demonstratives.


Responsibilities


  • Train and coach project teams and individuals in legal processes, policies, and procedures.
  • Manage and develop responses regarding document or matter discovery. 
  • Obtain backup documentation and information, in partnership with project teams.
  • Coordinate and participate in special projects.
  • Prepare and review all due diligence data room responses.
  • Gather and organize information for matters as assigned by the counsel. This may include researching and organizing documents, analyzing data, and preparing chronologies. 
  • Follow-up on mechanic’s liens waivers,
  • Assist in the review of prequalification applications and proposals in purchasing and requests for information.
  • Lead and/or participate in project strategy meetings related to contract issues.
  • Review and assist project teams and purchasing in the negotiation of subcontracts and purchase orders.
  • Draft, and track owner agreements, change orders, and contract amendments from proposal through execution and distribution.
  • Track contract and permit milestones and closing items.
  • Organization of documents and filing of records.
  • Use technical knowledge and experience to evaluate documents and prepare presentation material related to construction claims.
  • Write letters, applications, permits, and forms with oversight from the EC&O department.
Qualifications


  • Demonstrated ability to manage across functional groups within a large organization using problem-solving, technical background, and sound decision-making.
  • Demonstrated results in getting individuals/teams to perform at higher levels through changing expectations.
  • Strong editing and writing skills.
  • Draft, interpret, and analyze business correspondence, contracts, financial and statistical data, and technical procedures.
  • Strong team leadership experience managing people in multiple locations with a collaborative working style.
  • Bachelor’s Degree BA or equivalent experience
  • 5+ years of progressive and relevant experience in energy operations management or construction and engineering space, preferably in the organics to the energy business.


Skills


  • Proficient editing and proofing skills.
  • Proficient use of Word, Outlook, Excel, Teams, and PowerPoint/Canva.
  • Procore (a plus)
  • Organization skills.


Physical Requirements


  • Ability to travel for training and meetings occasionally.
  • Able to sit and stand for long periods of time.
