Job Description

We are the world’s largest producer of sustainable wood pellets, which provide a low-carbon alternative to fossil fuels.


Document Control consists of managing all commercial and technical documents for the company. Implementing the program tools and processes, providing system reports, maintaining and updating electronic information systems, distributing documents, and ensuring accuracy of all documentation. Ensuring fidelity to document retention policies, distribution procedures, and change management rules are also essential to the role.


Responsibilities

  • Ability to audit EPC, JC, and internal documents and registries to ensure compliance to standards by all parties
  • Input document data into the standard registers, ensuring all information is current and accurate
  • Typing of various project site documents and follow up on action items
  • Manage document review comment logs and workflows, tracking open items from open through close
  • Coordinate with the Program Manager and Document Controllers across the capital projects program to maintain consistent use of the enterprise Document Control methodology
  • Ensure that controlled copies of latest approved documents and drawings are distributed to the appropriate staff, subcontractors, and suppliers
  • Coordinate all activities related to the Document Control procedure with confidentiality and a high attention to detail, including managing reviews, versioning, distribution, and transmittals of all project technical documents, drawings, reports, and commercial correspondence
  • Employ critical thinking to properly name, number, and assign appropriate metadata tags to each document, drawing, reports, and other project-related documentation
  • Maintain all documents and drawings in the Document Control office under safe custody without any damage or deterioration with clear audit trail of versions, transmissions, and distribution
  • Knowledge of administrative functions
  • Generate document control reports as require
  • Maintain files and control logs of all documents


Qualifications

  • Knowledge of Engineering disciplines like Civil, Mechanical, Electrical, etc.
  • Other Characteristics
  • Ability to use computer and rapidly input data and retrieve records and information
  • Computer Literacy
  • Ability to keep clear and accurate records, manage a filing system, and issue reports
  • Critical thinking and problem-solving skills a must
  • Communication Skills
  • At least 3 years related work experience in office work, documentation, and information management
  • Education Requirements
  • Ability to organize and triage workload to suit project needs
  • At least Vocational Diploma/Certificate from a technical course
  • Minimum Years of Experience
  • Specialized knowledge or Industry Experience
  • Knowledge in use of database and document management conference calling software, Bluebeam Revu, and Microsoft Office Suite
  • Able to communicate effectively and professionally with all team members, subcontractors, vendors, and other engaged third parties to drive to timely resolutions of action items and reviews


Preferred Qualifications - What Will Set You Apart

  • Knowledge and use of Smart Sheets & Share Point
  • Experience in pulp and paper or process manufacturing construction projects


Travel requirements

  • Occasional, limited travel to other Enviva regional facilities, including the Bethesda, MD office, Raleigh, NC office and Epes, AL project site.


Working Conditions

  • Occasional need to walk a working construction site, including navigating rough or uneven terrain. Most duties will be performed at a desk.
  • Remote work with ability to occasionally work onsite in Raleigh preferred.


Physical Requirements

  • Primarily computer-based work requiring extended periods of sitting at a computer, typing, but may also include standing, walking, carrying, or lifting (up to 50 lbs.) in support of team tasks.
