+ Position Overview


The Corporate Events Operations Associate will support the Corporate Events team in organizing internal, partner, and third-party events hosted at MxD. The Corporate Events Operations Associate will report to the Manager of Corporate Events. This position will lead operations and processes related to meetings and events and the use of conference space at MxD. A successful Corporate Events Operations Associate has the audio-visual knowledge/aptitude and organizational skills required to ensure a seamless event experience from start to finish, every time, and enjoys working in a fast-paced, dynamic environment. This position has the opportunity to supervise the Corporate Events Intern.


+ Position Responsibilities


  • Work a flexible work schedule, including early mornings and evening hours as needed and as directed by the Manager of Corporate Events
  • Assist with event logistics, and maintain communications with event vendors through the lifecycle of each event
  • Effectively communicate between clients, vendors, internal stakeholders, and the Corporate Events team
  • Create and complete vendor and rental contracts as needed
  • Anticipate clients’ needs and potential problems and provide suggestions and alternatives to enhance the event’s success
  • Lead the setting up of audio-visual equipment, event furniture, and other equipment
  • Perform other duties and projects as assigned by the Manager of Corporate Events and Director of Business Operations
  • Assist with adherence to budgets for internal events
  • Serve as systems and software team lead: oversee Corporate Events team systems including but not limited to room booking software (EMS) and visitor management software (Envoy)
  • Ensure quality of initial guest encounters and address any guest needs in a cheerful, encouraging, and skillful manner
  • Foster and maintain relationships with vendors to ensure appropriate service quality and price range for the organization and external clients
  • Provide onsite event support for all event stakeholders, including, but not limited to, meeting owners, vendors, and internal staff
  • Provide statistical information related to space usage, vendor management, equipment inventory, and other information as needed
  • Plan MxD events and support third-party events taking place onsite from start to finish according to requirements, partner needs, and organization objectives
  • Fulfill all other requests as needed for each event as directed by the meeting owners


+ Position Requirements


  • Proficiency with Microsoft Word and Excel
  • Strong attention to detail
  • 2+ years of experience in the hospitality, meeting, event, audio-visual, or related industry
  • Ability to stand on feet for several hours at a time
  • Experience and familiarity with virtual event and onsite event management software; proficiency preferred; experience with GoToWebinar and/or Tripleseat a plus
  • Ability to manage multiple simultaneous events and projects with little supervision
  • Associate’s degree in Hospitality, Event Management, Audio-Visual Technology, or related field; Bachelor’s degree preferred
  • Experience with EMS or similar room scheduling software; proficiency preferred
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to carry 40 pounds
  • Excellent attention to detail and high level of customer service
  • Ability to commute to the MxD facility to perform an average of 85% of duties (while a variety of Corporate Events team responsibilities can be and often are performed remotely, an average of 85% of duties are performed on-site at the MxD facility as needs dictate)
  • Knowledge of various AV platforms and experience in setting up and troubleshooting AV presentations, video conferencing, webinars, and other AV equipment
  • Ability to learn and quickly adapt to new technology and computer software
