Essential Responsibilities
  • Coordinates photo shoot schedule with photographer, including calendaring, communicating with appropriate staff about dates, requirements and expectations for photo shoots with physicians and leaders (directors, executives).
  • Performs other duties as assigned.
  • Assists in coordinating prospective physician tours, physician/staff meetings, including in independent community physician offices, EMA physician/staff offices, EMA monthly meetings, including calendaring meetings, arranging/retrieving golf cart, scheduling meeting space, tracking all meetings for reports to Vice President of Marketing/PR and including notes provided by Physician Liaisons for said reports.
  • Works with vendor on promotional items ordering, with cost and efficiency top of mind. Directs other departments to vendor as needed. Ensures Eisenhower Health brand is appropriately used on items with review of proof by Vice President of Marketing and Public Relations. Assess costs of items against budget.
  • Assists with community benefit tracking, including communicating with colleagues throughout the organization regarding deadlines and submissions.
  • Requests agenda submissions, creates agenda for and takes minutes at department meetings. Sends minutes to all team members in a timely manner (no more than five business days).
  • Researches, analyzes and synthesizes information in order to articulate institutional activities and priorities in support of meetings with leaders, prospective physicians, clinicians, community leaders, and vendors.
  • Supports Marketing/Public Relations Vice President and Senior Physician Liaison with budget tracking over the course of the f fiscal year and preparing budget for subsequent fiscal year.
  • Works Marketing/Public Relations to ensure all materials are prepared in advance of need.
  • Responsible for identification of physicians/providers and leaders as well as understanding of organization’s goals and understanding of the organization’s brand.
  • Composes correspondence, proposals, and presentations effectively representing Eisenhower.
  • Updates Healthy Living Resource Center member/discount list twice a year and distributes as directed.
  • Organizes educational materials for Physician Liaisons use in meetings with physicians and other clinicians
  • Supports Physician Liaisons in organization of physician/staff education events, including calendaring events, sending evites for events, coordinating with Graphics staff (in Public Relations) about print materials needed in support of event, coordinating with vendors supporting event, such as caterers, manager of event location, and others as appropriate. Assess costs related to events a against budget.
  • Able to work evening events approximately eight nights a year.
  • Ensures receipts are collected and maintained for costs related to events and meetings and submitted in appropriate Finance system with documentation.
  • Supports Marketing/Public Relations/Business Development with invoice tracking, submission and documentation.
  • Inputs community events on online calendar with attention to detail for accuracy.
  • Keeps inventory of all supplies and orders as needed. Responds to requests for promotional items from others in the organization appropriately, including delivery of items to departments as needed, and ensuring departments are charged appropriately if needed.
