Job Title: Coordinator
Location: 100% REMOTE
Type: 12+ Months Contract with the possibility to extend
MUST HAVE: Circuit ordering exp. /telecoms exp
Position overview:
Fully experienced role acting as Subject Matter Expert in an Order Management area such as a specific product or multiple products. Coordinates various assigned order activities that may include gathering and reviewing a variety of data using company resources, compiling and formatting data to a finished product, and getting necessary approvals in order to meet required management timelines. Performs a variety of skilled non-routine duties. Project Coordinator III is an administrative professional who assists project managers with organizing and controlling project order activities through communicating risks, opportunities and current state of the orders. They fulfill their obligations by coordinating meetings, resources, equipment and information. Project Coordinators III handle projects with the goal of seeing them through on time. Project Coordinator III roles are crucial to a success because they ensure projects run smoothly by controlling order workflow, scheduling assignments, evaluating the course of the order activity and reporting its status to the Project Management, Program Management and other internal stakeholders, such as account team members.
Responsibilities
- Exchanges information requiring some interpretation and/or persuasion to ensure proper action.
- Direct order correspondences by preparing and reviewing order submissions, status updates, meeting minutes and emails
- Ownership of Order Escalation management as risks or issues arise that may affect delivery to committed timelines. Communication of Order Escalation to Project Manager for inclusion in overall Project Risk management.
- Plan and manage orders, implementation schedules and new information
- Verify, coordinate, track and drive the overall delivery of orders to ensure expectations and Service Delivery commitments are met
- Subject Matter expertise in Order Administration/Validation activities; Upfront Order Details packaging and collection to include hold/reject order resolution during preorder keying.
- Serves as a Subject Matter Expert in an order management area
- Works on assignments requiring judgment and initiative within pre-determined guidelines and subject to periodic review.
- Assist project team with the order implementation of contracted services
- Uses advanced and specialized knowledge to perform unique and/or complex tasks or activities which may be technical in nature.
- Develops and maintains strong relationships with internal customers and suppliers.
- Ability to coach Project Coordinators as Subject Matter Expert in one or more product order processes
- Reaches out to Project Manager and other employees with issues or delays to avoid “surprises”
- Manage standard order workflows across single delivery stream
- Provide timely and meaningful communication throughout the order life cycle to Project Manager and team
- Supervise current orders and coordinate internal service delivery team members to keep order workflow on track
- Performs a variety of duties involving different and unrelated steps and methods.
- Possesses working knowledge of theory and practices within a recognized field and/or specialized knowledge and skills, such as a specific product order process
- Manage order-related paperwork by ensuring all necessary materials are current, properly managed and posted for additional internal stakeholders such as Project and Program Managers as well as account team members
- Manage orders across standard product/delivery solutions
- Works under minimal supervision.
- Evaluate potential problems with orders and technical hitches as Subject Matter Expert in regard to those orders and recommend solutions
- Participate in order submission meetings as necessary and propose improvements as Subject Matter Expert if warranted
- Performs a variety of duties involving different and unrelated steps and methods.
