Summary of Commercial Coordinator Position
The Project Coordinator (PC) is primarily responsible for coordinating the order entry, purchasing, scheduling, releasing, and delivery of customer orders in a timely manner. They may also assist in the quoting and estimating process. The PC is responsible for ensuring that each detail in the customer’s order is addressed by managing orders from the point of contract through final resolution, which may include post installation and/or service issues. They work closely with sales teams, order fulfillment teams and 3rd party providers to achieve and provide excellent customer satisfaction. They must be able to work well in a team environment.

Commercial Coordinator Responsibilities
- Coordinate product delivery with Jobsite personnel and warehouse
- Quote projects with assistance from Commercial Team
- Purchasing product from vendors and our corporate manufacturing facilities
- Submit documents to general contractors
- Scheduling of Value Add and Pre-finish
- Obtain and upload contract documents
- Work with Commercial Team to purchase project
- Recording key dates and activities related to orders
- Coordinate “Punch Out” activities
- Perform jobsite visits to facilitate installation
- Order Shop Drawings
- External and internal customer contact
- Processes factory credits to Pella Corporation and provides follow up/revision to pending or denied credits
- Collects customer payments following installation or delivery as needed
- May assist with physical inventory and help resolve inventory discrepancies
- Resource for PQM /ADM and product offering questions
- Managing recovery process for shortages and damaged product
- Promotes and facilitates continuous improvement activities in the department
- Ordering parts and/or scheduling service appointments as needed
- Coordinating delivery of customer orders
Education
Bachelor’s Degree in construction related field; or 5+ years equivalent combination of education and experience in commercial construction
Commercial Coordinator Qualifications
- Must be pro-active, self-disciplined, self-motivated, and have a demonstrated ability to follow projects through to completion
- Must be able to investigate issues and resolve conflict in the best interests of the business and our customers
- Ability to read a tape measure and read scaled architect drawings
- Ability to apply basic concepts of algebra, geometry, and general business math
- Must be a team player and exhibit a strong desire to learn and promote self-growth
- Must be able to demonstrate organizational skills, prioritize tasks, and meet deadlines
- Ability to compile and decipher information in spreadsheet format
- Must possess a valid driver’s license and an excellent driving record
- Proficiency with Microsoft® Word, Excel, Outlook, and PowerPoint software applications
