Job Description
We are looking for an experienced Event Coordinator to join our Cincinnati Zoo Team.
Starting at $16/$17 depending on experience
EVENT SALES COORDINATOR

The EventSales Coordinator will be responsible for all school group meals, birthday parties and the detailing and coordination of events passed on by the Catering & Events Sales Team. The Coordinator will organize, finalize details and adjust for any changes to the configuration of the event, communicating directly with the client. The Coordinator will plan, oversee and execute all catering and event services for groups, while meeting customer expectations and communicating effectively with the operations and culinary team.
Reporting Relationship
The Event Sales Coordinator reports directly to the Catering Sales Manager and/or Director of Catering & Events.
Job responsibilities included but at not limited to the following:
  • Assist in the day-of staging of large Zoo Public Events.
  • Responsible for detailing booked corporate events (weddings & after-hour celebrations) by effectively communicating with event clients.
  • Assist the other event coordinator with day-of responsibilities at corporate picnics and daytime meetings.
  • Support the Sales Staff with all office administrative duties, including running client payments, internal invoicing, and weekly reporting.

Specific Responsibilities: *
  • Ensure client contact and event information is accurately inputted into software on a daily basis.
  • Answer calls and emails and direct them appropriately.
  • Maintain a strong, positive relationship with the client.
  • Respond in a timely manner, with availability and appropriate information, to all requests. Respond to client requests in a timely manner and take action to ensure client satisfaction.
  • Other projects as assigned by management.
  • Work professionally and respectfully with all vendors, clients, and other departments who may be involved in the event process.
  • Communicate with corporate event clients to make appropriate decisions on items such as timeline, menu, room layout, etc., coordinate logistics, and collecting final payment.
  • Vocational and Technical Skills: *Word, Excel, phone etiquette, and computer skills.
  • Knowledge of menu planning, including the ability to guide selections and services.
  • Uphold and demonstrate a complete understanding of company policies and procedures.
  • Become proficient in the use of Caterease event software, follow procedures as set by the Sales Director, and always quality control any data that is inputted.
  • Prepare for and attend the weekly sales meeting, having completed any of your action points from the previous meeting.
  • Responsibly geared towards presenting a clean and welcoming experience for guests by upholding sanitation requirements.
  • Interpersonal Skills: * Must be willing to work as a team, communicating with their own department, suppliers, and other departments of the location at all times. The job holder must have a confident yet assuring manner with clients at all times. Excellent oral and writing communication skills are required in order to make any client experience a success. The job holder must demonstrate the ability to remain flexible in a fast-paced environment and ability to work varied hours/days, including nights, weekends and holidays, as needed.
  • Support all other departmental needs as requested from time to time by management.
  • Plan, upsell and detail functions with corporate event clients including: space requirements, times, equipment, menus, themes, decorations, etc.
  • Professionally troubleshoot any issues that arrive prior to or during the event.
  • Ensure coordination of promotion material, ticket printing, and written agreement development is done in a timely manner for all event clients.
Social Responsibility and Culture
  • Perform other tasks as deemed necessary.
  • Supports SSA / Unit in driving community effort, engagement activities, and focus on opportunities of giving back.
  • Supports unit in being an example for Company & Client guidelines with regard to Sustainability/Conservation efforts. Displays knowledge of efforts in business application.
  • Promote an inclusive & supportive approach at the Unit.
Previous Experience
  • One to Two years minimum catering sales and/or event planning experience in off-site catering, hotel or cultural attraction catering venue preferred.
  • BEO knowledge and execution a must.
  • All education backgrounds eligible, must be 18 or older.
