Bookkeeping and Administrative Assistant - Remote Part-time (25 hours/week)

The Job In A Nutshell:
The Bookkeeping and Administrative Assistant is responsible for supporting our Vice President of Administration with bookkeeping responsibilities and our team with administrative support. You will handle customer invoicing, and enter payables and expenses into QuickBooks, producing the payments either electronically or by check. The key to this position is being detail oriented and organized! Clear communication is essential too. This position is a great opportunity for you if you want to work part-time (25 hours/week, Mon-Fri), virtually, with the ability to come to Annapolis, MD approximately 1 day per month.

A Day In The Life:
  • You will manage account payable responsibilities such as setting up new vendors, seeking approval to pay invoices timely and communicating with vendors - organization!
  • You will maintain accounts receivable, including generating invoices that include the proper support documents – detail orientation!
  • You will reconcile bank statements, manage company credit card accounts, including collecting receipts, entering data into QuickBooks and invoicing clients as needed.
  • You will be a wonderful addition to the CXE team!
  • You will assist with travel and conference attendance including booking transportation, hotels, etc.
Tools and Processes You Need To Know:
  • Basic Outlook and Excel skills.
  • Basic proficiency in QuickBooks, you don't need to be an expert, just familiar with it.
  • How to be an excellent team member.
Is This You?:
  • Basic knowledge of QuickBooks or other similar software.
  • High School Diploma or equivalent.
  • Wants to work 25 hours/week Monday-Friday during core 9-5 business hours (for example, 9am-2pm; 10 am – 3pm) and able to travel to the Annapolis area 1x month, more often for initial training.
  • Excellent written, phone, and in-person communication skills.
  • Great reading comprehension to gather information from contracts to enter into QuickBooks.
  • 5 years of experience in an office setting, with light bookkeeping and administrative responsibilities.
