Position Summary: Reporting to the Community Manager, the Onsite Bookkeeper is responsible for handling various bookkeeping related duties, reports, collections, resident ledgers and all the Accounts Payable and Accounts Receivables functions. May perform duties on behalf of several properties. Exhibits strong commitment to the service needs of the internal and external customer. Represents the company in a professional and courteous manner. Will be assisting with resident activity, leasing, answering phones, as needed.


Essential Job Functions


  • Collaborates with appropriate parties to ensure accounting functions for the property are handled timely, accurately, and within company guidelines including, but not limited to; ensuring all monthly invoices are received, batched and scanned to the appropriate corporate accounting representative each week; makes daily deposits to the bank or via desktop scanning deposit; Monitors the weekly deposit report to ensure and/or handle any failed deposits; balances all resident ledgers and reports in Yardi.
  • Monitors and reviews all vendor statement balances including balance forwards and researching late fees; performs a review in Yardi to ensure invoices paid/processed match the vendor statement.
  • Assists in the collection of rents and deposits from residents and prospective residents. Update all rents, deposits and application fees daily; minimizes delinquency through consistent follow-through on collection activities, including phone calls, notices and personal visits; issues appropriate notices such as late payment, eviction notices and returned check memos.
  • Maintains and updates daily reports concerning notice to vacate, vacancy reports, activity reports, etc.; verifies status of vacant units to confirm that all units are ready to lease and inspect all pre-leased apartments prior to the resident’s scheduled move-in.


Minimum Qualifications/Skills


  • Professional appearance and demeanor
  • Strong communication skills
  • High School or GED (General Education Diploma) preferred
  • MS Office Word/Excel experience preferred
  • Strong attention to details, planning and time management skills
  • Yardi Voyager experience preferred
  • A valid driver’s license may be required
  • Ability to work in a fast paced, deadline driven environment.
  • Previous bookkeeping/account reconciliation experience preferred
  • Ability to work with a diverse group of people to include co-workers, vendors and customers.
  • Ability to travel and assist at other properties may be required
  • A positive and team-oriented attitude

This job generally operates in a professional office environment but may also occasionally operate in an outdoor environment. While performing the duties of this job, employees must be able to remain in a stationary position for long periods of time, occasionally move about the office, constantly operate a computer and other office equipment, communicate regularly and effectively with others, both written and verbally, and may occasionally lift up to 30 pounds.


This position requires close visual acuity to perform an activity such as preparing and analyzing data and figures, viewing a computer terminal, and extensive reading.


Work Schedule: 8am-5p or 9a-6pm, Monday-Friday; weekends may be required to meet business needs.
