Job Title: Associate Specialist, Compensation & Benefits

Department: U.S. Human Resources

Reports to: Senior Manager, Compensation & HR Analytics with a dotted line to Senior Manager, Benefits

Work Location: Bethesda, Maryland

Position Overview

The U.S. based Human Resources department supports DAI’s business units and U.S. based workforce by providing a wide range of consultative and operational HR services including workforce planning, compensation, benefits, and employee relations. The Associate Specialist, Compensation & Benefits will support the administration of DAI’s U.S. compensation and benefits programs.

The Associate Specialist will become fully versed in DAI’s U.S. compensation programs, supporting the Compensation Manager in providing guidance to the Talent Acquisition team, managers, supervisors, and staff on DAI’s compensation programs. They will also support the Compensation Manager with administering the U.S. compensation programs, and the global annual and mid-year compensation review processes.

Additionally, under the guidance of the Benefits Manager, the Associate Specialist is responsible for review and reconciliation of employee benefit data as it moves between DAI systems and benefit providers. They will also work closely with DAI’s Corporate Finance team to ensure that benefit vendors receive payment for services, and remittance of employee funds designated for DAI sponsored retirement, flexible spending and/or health savings accounts, in a timely manner.

The Associate Specialist is privy to sensitive and confidential information and is responsible for always maintaining the confidentiality of such information. This is a full-time position, that requires the ability to work from DAI’s Bethesda office as needed.

Responsibilities

Compensation Administration

· Develop a strong understanding of DAI’s compensation philosophy, job architecture, and U.S. base pay program for corporate office staff.

· Support the Compensation Manager with administering the global annual and mid-year compensation review cycles. This includes, but is not limited to:

  • Complete income related employment verifications, as requested.
  • Support the Director, People Development and Compensation Manager in administering discretionary incentive compensation programs for the USG business unit.
  • Reviewing manager recommendations for equity and alignment within the compensation structure, providing feedback to the Compensation Manager on areas that need to be addressed with managers.
  • Preparing and updating data files for use in Complogix.
  • Liaise with payroll to ensure that sign-on and retention bonuses are paid on time.
  • Perform job evaluations, providing recommendations on FLSA classification and leveling within DAI’s job architecture.
  • Provide feedback to the corporate talent acquisition team on compensation for job offers for positions at levels P1 through P4.
  • When requested, support the Project HR, and Project & Proposal Talent Acquisition teams with developing and updating project compensation management tools, and country compensation plans (CCPs).
  • Perform market, equity, and other compensation analyses, as requested.
  • Providing general guidance to staff on compensation review processes.
  • Updating manager access in Complogix, as needed.
  • Liaising with HR staff in DAI’s other corporate geographies, as needed.
  • Collaborate with the corporate talent acquisition team and managers on creating and updating job descriptions in line with DAI’s job architecture.
  • In partnership with Senior HR Data Analyst, prepare data submissions for compensation surveys.
  • Scheduling and preparing materials for calibration sessions with business unit and corporate department management.
  • Generating and distributing employee compensation statements, as directed.
  • Support the Compensation Manager in administering discretionary incentive compensation programs for U.S. based staff in corporate services departments.

Benefits Administration

· Develop a strong understanding of DAI’s benefit offerings for U.S. payrolled staff.

· Provide guidance to staff on resources available to better understand and utilize DAI’s benefit offerings.

· Process benefits invoices and provide necessary reports for allocation/billing charges.

· Prepare deduction/contribution reports for each payroll.

· Conduct systems reconciliation and data quality across all benefit systems, internal and external.

· Develop in-depth understanding of the benefits system and troubleshoot issues with payroll and carrier feeds.

· Actively participate in designing and testing changes/upgrades in benefits and HR systems.

· Review system functionality and identify opportunities to eliminate system redundancy and create efficiencies. Liaise with internal partners (HRIS, Payroll, IT) and business units to implement appropriate changes.

· Ensure data integrity by conducting periodic system audits to ensure quality assurance and compliance with relevant laws, policies, and practices.

· As requested, provide support in drafting and finalizing monthly Benefits Newsletters and related announcements.

Compensation & Benefit Compliance

· Track federal, state, and local government action regarding minimum wage, pay transparency, pay equity and related wage and employment law issues in the U.S.

· Conduct research on wage laws and practices outside of the U.S., when requested.

· Maintain and update internal wage compliance trackers.

· Conduct benefit compliance research, as requested.

· Update and maintain internal SharePoint site that houses U.S. employment compliance postings.

· Assist with preparation of client Welfare Form 5500 filings and Summary Annual Reports.

· In partnership with Senior HR Data Analyst, assist in the preparation of DAI people data for various government reporting requirements (e.g., AAP, EEO-1, VETS-4212, etc.).

· As requested, support gathering HR documentation for audits.


Additional responsibilities as deemed necessary.

Qualifications & Skills

Minimum Requirements:

· Grade 4: Minimum of 2 years of relevant professional experience and a college degree. Equivalent combinations of education and experience will be considered.
· Knowledge of U.S. employee benefits and applicable laws.
· Knowledge of U.S. employment laws and regulations related to compensation, pay equity, and pay transparency.
· Excellent attention to detail and organizational skills.
· Self-directed with the ability to prioritize multiple tasks/competing deadlines simultaneously.
· Professional proficiency in MS Office, especially Excel.
· Able to work as part of a decentralized team.
· Able to handle confidential and/or sensitive information with discretion.
· Able to meet deadlines, take initiative and accomplish work with minimal supervision.
· Strong written and oral communication skills, with the ability to communicate clearly and professionally with internal and external clients, and tailor communication style to diverse audiences.
· Able to build and maintain strong working relationships with staff at all levels of the organization and external clients from diverse backgrounds.
· Demonstrated ability to create inclusive work environments, and work effectively within a culturally diverse environment.
· Authorized to work in the United States without sponsorship.

Preferred, but not required:

· Prior professional experience in human resources, benefit and/or compensation administration.
· Knowledge of U.S. federal contractor reporting requirements (i.e., AAP, EEO-1, VETS 4212).
· Familiar with HR Information Systems (HRIS).
· Proficient in PowerBi or similar data analytics programs.
· Professional working proficiency in a second language (Spanish, French, Russian, or Arabic preferred).
· Able and willing to adjust work schedule, if needed, to support teams located in different time zones/countries.

Compensation & Benefits:

For employees working the United States, the full-time equivalent annual base salary for this position is expected to be between $70,262 to $82,661. Salary for part-time employees will be prorated based on actual hours worked. Actual offers will be based on several factors including, but not limited to, qualifications, relevant education, experience, skills, seniority, performance, and business or organizational needs.
