Job Description
University of Virginia Football is a highly competitive FBS Power Five program committed to academic and athletic excellence. The Department of Athletics at the University of Virginia is now accepting applications for the position of Assistant to Head Football Coach / Director of Administrative Services to support the department's Football program.


This position is primarily responsible for supporting the Head Football Coach in achieving the program’s vision.


Responsibilities include:


Executive Support of Head Football Coach (HFC)


Lead the administrative function and serve as the Executive Assistant for the Head Football Coach in the following areas:


  • Coordinate Head Coach’s suite for home football games by processing food orders, and assisting with ticket allocation.
  • Coordinate all merchandise/autograph requests and supplies.
  • Coordinate with colleagues on daily administrative/scheduling/media needs.
  • Ensure compliance with University-related administrative requirements/programs.
  • Assist with vehicle/driving coordination - Dealer Car Program, University driving policy, and DMV checks for staff.
  • Manage Head Coach’s internal Policy Manual.
  • Coordinate administrative aspects of specific Head Coach initiatives and programs.
  • Assist with event planning/execution.
  • Outreach and correspondence to a wide variety of constituencies.


Office Management


  • Coordinate football meeting room calendar requests.
  • Ensure appropriate manuals, directories, and football-related reference materials are maintained.
  • Coordinate daily office operations ensuring supplies and equipment are available and operational.
  • Manage parking passes/dissemination for football use.
  • Assist with operation of the football lounge.
  • Troubleshoot and resolve technical issues for coaches/staff.
  • Assist with on/off boarding for coaches and staff.


Support for Assistant Football Coaches/Staff


  • Support assistant coaches and staff with required training processes, HR issues, mandatory meetings, media requests, administrative deadlines, etc.
  • Assign events/media requests to assistant coaches as needed.
  • Coordinate support for coaches’ families as needed.
  • Provide non-recruiting, administrative, and computer/cell phone technical support to assistant coaches, strength and conditioning staff, directors, graduate assistants, and other football staff, including travel arrangements, reimbursements, media/event requests, etc.


Football Operations Assistance


  • Assist with operations as needed.
  • Coordinate staff football ticket distribution.
  • Assist with on-grounds recruiting.


Compliance


  • Follow all rules of University of Virginia, Virginia Football, NCAA and ACC.
  • Obtain approvals from the Compliance Staff before acting to ensure actions are consistent with ACC and NCAA rules.

  • Ability to work in a fast-paced environment with competing priorities and multiple constituencies.
  • Excellent and effective verbal and written communication skills.
  • Ability to analyze and solve problems and use independent judgment.
  • Proactive, responsive interpersonal skills.
  • Proven time management and organizational skills, attention to detail, and openness to new approaches and new ideas.


Required Qualifications


Education: Bachelor’s degree or equivalent (4+ years') related experience.


Experience: Some working knowledge of the sport program to be supported


Preferred Qualifications


Experience: professional or collegiate athletic experience.


Work Environment


This is a full-time position. Days and hours of work will vary based on the needs of the football program and as job duties demand. Early morning, evening, weekend, and holiday work is required. This position operates in both a professional office environment, as well as outside at football-related events, possibly during inclement weather. This job requires flexibility and adaptability in schedule and the ability to perform job-related duties on short notice. Minimal travel is expected for this position.


Salary is commensurate with qualifications and experience. This is a fulltime, exempt position, which is eligible for the University's benefits package. The University will perform background checks on all new hires prior to employment.
