Job Description
The Assistant Property Manager will manage a small portfolio of properties or work alongside the Property Manager to assist in managing a larger portfolio that includes office, retail and residential property. Multi-tasking and flexibility are essential skills necessary in this role. Preparing financial reports, understanding and following lease language, managing tenant improvements and /or managing capital improvements projects are important elements of the job. Engaging with tenants to understand their needs, perspective and motivation and ensuring our clients receive outstanding customer service is critically important. The Assistant Property Manager will assist with managing vendor purchasing and developing vendor relationships. You will be skilled in thoughtfully conveying and exchanging information, news, and ideas both internally and to clients. The Assistant Property Manager will be an important contributor of the continued refinement of work quality, cultural initiatives, best practices and the introduction of new ideas, to drive positive results for the team.
Key Responsibilities
Responsible for developing and maintaining positive tenant relations. Maintain ethical, professional, and courteous relations with contractors and tenants. Lead and manage all property personnel, including, but not limited to: industry training, performance evaluation, and salary administration.
Responsible for property operation and administration of all activities related to the physical operation of the property, including but not limited to: operations, engineering, cleaning, maintenance and repairs, construction, parking, security and landscaping.
Responsible for P/L and all fiscal activities of the property or properties including, but not limited to: property specific financial reporting, operations analysis, budget development, presentation and implementation, lease compliance and abstracting, variance analysis, scope of service development and request for proposals, owner/partner relations and reporting.
Support for developing, implementing and maintaining marketing strategy for both current and prospective tenants, including, but not limited to: responding to telephone and on-site inquiries, broker open houses and tenant walk-throughs, negotiating lease and broker contracts.
Provide support for all Emergency Procedures and Business Continuity procedures including, but not limited to: serving as business unit representative in establishing plans, work collaboratively with internal corporate representatives and external stakeholders in implementing practice/ monitoring equipment/ incident command team member in live emergencies, assisting with evacuations, bomb searches and other life safety emergency events. Where applicable, assist/facilitate training of tenant representatives with fire captain requirements and responsibilities as detailed in Site Emergency Action Plans (SEAPs) collaboratively meeting fire code requirements.
Comply with all company policies & procedures.
Minimum Knowledge, Skills and Abilities
Four years of real estate management experience with profit and loss responsibility.
Bachelor’s degree in related discipline.
Interact with employees, visitors and contractors with poise and diplomacy.
Establish and maintain a cooperative working atmosphere among staff Exchange ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions.
Apply principles of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Interpret instructions in written, oral, diagrammatic, or schedule form.
Compose business correspondence, summaries, and reports, using proper format, punctuation, grammar, diction and style.
Calculate square footage and loss factors.
Proficiency with Excel, PowerPoint, Yardi

Working Conditions
Irregular and extended hours including nights, weekends, and holidays.
Exposure to high noise level.
Frequent visual/auditory attention.
While performing the duties of this job, the colleague is regularly exposed to a facility environment, outside weather conditions, extreme cold/heat, chemicals, electricity, moving mechanical parts, high, precarious places; and fumes or airborne particles.
Required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The colleague frequently is required to sit. The colleague is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
