Job Description

Job Title: Assistant Manager

Reports to: Property Manager

Basic Function:

  • Assist Property Manager with general administration and all on-site daily operations.
  • Responsible to take over the role of Property Manager in their absence.
  • While the following information should be considered a comprehensive description of this position, it should be noted that some responsibilities and duties may not be specifically addressed.
  • The degree of responsibility and duties will depend upon the site and the Property Manager to which the employee is assigned.
  • Under the supervision of the Property Manager, the Assistant Property Manager is responsible for assisting in all areas defined as a part of the Property Manager job description.


Primary Responsibilities:

1. Act as Property Manager in the case of absence or vacancy of the Manager position.

2. Assist with collection of rents and preparation of receipts and bank deposits.

3. Maintain accurate resident records and files. Issue appropriate notices when necessary (i.e. late

payment, eviction notices, returned check, memos).

4. Accept service requests from residents and route to maintenance promptly.

Assist with or conduct service follow-up with residents.

5. It is the Asst. Manager’s responsibility to know and adhere to all federal, state and local laws, as well

as Fair Housing and all Pedcor Management policies and procedures .

6. Update daily, monthly reports including but not limited to: activity reports, projections, WCA and

provide information to Property Manager. Organize and file all reports, leases and paperwork.

7. Maintain courteous communication with the residents, applicants and representatives of Pedcor and

other companies.

8. Answer incoming calls and conduct all communication in courteous and professional manner.

9. Assist Manager to ensure that the office, clubhouse, models and “market ready” vacants are in

perfect condition, clean and orderly. Physically inspect property when on grounds, pick up litter and

report any service needs to maintenance. Inspect move outs and vacancies.

10. Order supplies and forms when needed within budgeted guidelines following PMC procedures.

11. Work with attorney and Manager regarding legal proceedings.

12. Welcome and show property to prospective residents, professionally present the community and

apartments while providing features and benefits. Always ask for the sale.

13. Accurately process lease paperwork and other required documents and ensure all data in the

resident files is kept confidential. Complete addendums, accept fees and deposits.

Maintain and supervise a lease renewal program following Pedcor Management guidelines.

14. Handle and coordinate all details of move-ins and move-outs.

15. Schedule and supervise the activities of the Leasing Reps on a daily basis.

16. Assist Property Manager in Marketing program and agenda.

17. Assist in the employment of office and maintenance personnel and contracting of vendors for

other services as required.

18. Assist with scheduled audits and inspections.

19. Must be able to operate office equipment.

20. Monitor and approve all Tax Credit applicable guidelines as instructed by V.P. and

Director of Compliance.

21. Perform other duties as assigned by the Manager, Area Manager or Corporate.
