As an Administrative Receptionist, you will be an essential point of contact for our organization, ensuring efficient communication and a welcoming atmosphere for all visitors and callers. Your role encompasses a range of tasks aimed at supporting our daily operations and providing top-notch customer service.


  • Answer, Screen, and Forward Incoming Calls Promptly and professionally handle a high volume of incoming phone calls, effectively directing callers to the appropriate individuals or departments as needed.
  • Workplace Safety Take an active role in maintaining workplace security by accurately recording visitor information in logs and ensuring that security protocols are followed consistently.
  • Appointment Scheduling Skillfully manage appointment scheduling with clients, utilizing both phone and in-person communication to coordinate meetings and appointments.
  • Provide Information and Assistance Offer accurate and helpful information to callers and visitors, both via phone, email, and in-person interactions.
  • Clerical Duties Engage in a variety of clerical tasks that contribute to the smooth functioning of our office. This includes tasks such as filing documents, photocopying important materials, transcribing records, and efficiently handling fax communications.
  • Interview Room Maintenance Ensure that interview rooms are equipped and maintained with all necessary supplies, creating a comfortable and organized environment for both residents and staff.
  • Visitor Direction Greet and direct visitors to the appropriate individuals or departments within our office.
  • Customer Service Excellence Exemplify excellent customer service in every interaction, striving to meet and exceed the needs of clients and visitors.


Education High School Diploma required; college degree preferred.


Experience Prior administrative experience in a public-facing office setting


Skills


  • Microsoft Office Familiarity Comfortable using Microsoft Office applications, such as Word, Excel, and Outlook, to support administrative tasks.
