About the Opportunity
Reporting to the Director of Operations, Office of the President, the Administrative Coordinator is responsible for providing efficient administrative and operational support as a member of the team that oversees the Office of the President. The Administrative Coordinator is also responsible for assisting in preparing the office for meetings, including tasks like prepping documents, ordering food, managing the venue/meeting space, and attendee management. The Administrative Coordinator will also provide support with the budgeting process, expense reporting, highly visible events, and special projects. Specifically, the Administrative Coordinator will work collaboratively to drive project execution in with the Offices of Advancement and External Affairs. As part of the team, the Administrative Coordinator will work directly with the Assistant to the President to support calendar management and travel planning as well as other work required to support the varying needs of the Office of the President.
Responsibilities:
- Supports events hosted by the Office of the President, under the direction of the Director of Operations and the Assistant to the President.
- Provides confidential administrative assistance and demonstrates discretion.
- Serves as a liaison with external institutions, other offices, and clients as needed.
- Handle general office needs: manage equipment licensing and repair, oversee conference room reservation calendar, handles incoming and outgoing shipping and receiving activities including FedEx and UPS shipments; provide backup as required.
- Manages calendars and arranges travel as needed and required by the Assistant to the President.
- Monitor budgets: ensure that fiscal deadlines are met and other financial transactions including the ordering of supplies, equipment for staff, and other materials.
- Screens and handles telephone communications and written correspondence.
Qualifications:
Highly efficient time management skills and the ability to prioritize tasks, combined with the ability to be flexible and multi-task. Highly proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. Self-motivated and effective in a team setting, as well as the ability to work with minimal or no supervision. Strong organizational skills, as well as excellent oral communication and interpersonal skills. Knowledge and skills typically acquired through completion of an Associate’s Degree or equivalent is desired, with two to four years of experience in an office environment with experience in carrying out diverse administrative duties.
