Description
- Learn and ensure compliance with all Fair Housing Laws including local, state, and federal housing regulations (We provide training)
- Track and update service contracts and maintenance renewals
- Provide a great customer experience through outstanding service and cost consciousness
- Be an office administrator (data entry, billing, vendor scheduling, et al) expert to support our field teams
- Execute on additional administrative tasks including reconciling expenses, managing files, and running professional errands; provide ad hoc administrative support to additional team members
- Maintain Life Safety Code documentation and files
- Draft, generate and collect lien waivers and update the Corporate Accounting team accordingly
- Coordinate with approved vendors including creating work orders and corresponding directly with them on project progress and completion
- Pivot, roll up your sleeves and jump in where needed!

- Schedule and arrange department meetings, lunches and events
- Pre-qualify contractors/vendors by verifying insurance requirements and requesting estimates for comparison; create purchase orders based on estimates
- Ensure accurate and timely project reporting, documentation, and invoice processing

- Have excellent interpersonal, written, and verbal communication skills
- Have an Associates degree in Business Administration or related field (preferred)
- Have at least 2 years of experience as an administrative assistant, office manager, data entry or similar (preferably in construction or maintenance)
- Demonstrate superior attention to detail, high energy, and a positive attitude
- Have an understanding of construction and maintenance processes
- Are proficient in Microsoft Excel

- Have the ability to keyboard accurately at 45 wpm
- Are highly proficient with relevant software (e.g. Microsoft Office, AppFolio, Outlook) and can easily adapt to changing technology
- Availability to work longer hours and weekends during peak periods including market turnover in July and August (specific dates vary from year to year)
- Valid driver’s license and dependable vehicle. Limited in-town usage of personal vehicle for errands and property visits required any out-of-County personal mileage reimbursed at the Federal rate
- Must be able to perform the physical functions of the position, not limited to: ability to sit for long periods of time at a computer, perform building inspections
