We are seeking a highly motivated Administrative Coordinator to work with our Facilities Management team! The team member will have a strong clerical background, detail-oriented, and be organized to successfully perform a wide variety of professional administrative duties in support of the activities and services of the department The ideal candidate will embody Fairlawn’s core values: Be Kind, Own It, Be Flexible, and Always Improve.


What will you do?


  • Learn and ensure compliance with all Fair Housing Laws including local, state, and federal housing regulations (We provide training)
  • Track and update service contracts and maintenance renewals
  • Provide a great customer experience through outstanding service and cost consciousness
  • Be an office administrator (data entry, billing, vendor scheduling, et al) expert to support our field teams
  • Execute on additional administrative tasks including reconciling expenses, managing files, and running professional errands; provide ad hoc administrative support to additional team members
  • Maintain Life Safety Code documentation and files
  • Draft, generate and collect lien waivers and update the Corporate Accounting team accordingly
  • Coordinate with approved vendors including creating work orders and corresponding directly with them on project progress and completion
  • Pivot, roll up your sleeves and jump in where needed!

  • Schedule and arrange department meetings, lunches and events
  • Pre-qualify contractors/vendors by verifying insurance requirements and requesting estimates for comparison; create purchase orders based on estimates
  • Ensure accurate and timely project reporting, documentation, and invoice processing

Requirements


Who you are – We’d love to hear from you if you:


  • Have excellent interpersonal, written, and verbal communication skills
  • Have an Associates degree in Business Administration or related field (preferred)
  • Have at least 2 years of experience as an administrative assistant, office manager, data entry or similar (preferably in construction or maintenance)
  • Demonstrate superior attention to detail, high energy, and a positive attitude
  • Have an understanding of construction and maintenance processes
  • Are proficient in Microsoft Excel

  • Have the ability to keyboard accurately at 45 wpm
  • Are highly proficient with relevant software (e.g. Microsoft Office, AppFolio, Outlook) and can easily adapt to changing technology


Some Additional Things You Will Need


  • Availability to work longer hours and weekends during peak periods including market turnover in July and August (specific dates vary from year to year)
  • Valid driver’s license and dependable vehicle. Limited in-town usage of personal vehicle for errands and property visits required any out-of-County personal mileage reimbursed at the Federal rate
  • Must be able to perform the physical functions of the position, not limited to: ability to sit for long periods of time at a computer, perform building inspections
