Purpose: Provide administrative support for the program operations including general office services, client relations, scheduling of clients, and scheduling of classes. The Administrative Assistant also provides administrative support to the Program Director.
- Serve as office/community liaison in responding to external requests.
- Manage all incoming mail, check for date deadlines, responses or materials needed.
- Make logistical meeting arrangements for staff meetings and trainings including rooms and set-up, food service, confirmations.
- Compose, prepare and mail HERO program announcements and other program correspondence.
- Maintain HERO Program personnel files (excluding payroll and leave data).
- Answer questions about HERO programs and processes.
- Oversee status of office equipment, coordinate phone system maintenance for administrative area.
- Communicate client needs, whereabouts to staff.
- Create and update procedure manuals for front desk/administrative area.
- Assist with data entry as needed for HERO Program client files and for HERO Program Performance Improvement process.
- Answer phone calls and direct calls to appropriate parties.
- Maintain inventory of office supplies and order as needed.
- Maintain a professional welcome area.
- Aid HERO department with tasks and projects as needed.
- Assist with client pass management system.
- Assist the Program Director and other staff with coordination of classes, peer meetings, and education programs.
- Direct assigned volunteers to carry out tasks in the administrative area.
- Accept client and third party payments and take monies to Billing department each day.
- Assist in the Intake process by searching belongings, deliveries and maintaining client property documentation.
- Greet visitors, clients and staff, ascertain their nature of business, and direct them to appropriate individuals.
- Additional responsibilities may be assigned.
- Abides by all specific program and Agency procedures, policies, and requirements.
