Position Overview

The Administrative Assistant/Events Specialist provides support for triangle and non-triangle needs for the KU Edwards Campus. The position reports to the Manager, Campus Events and will coordinate and support internal and external (paid) events at the Edwards Campus. Additionally, this position provides support to the Dean, Associate Deans, Assistant Dean, Administrative Directors and managers as needed.

45% Event Scheduling - Works with internal clients on coordinating and scheduling staff professional development, seasonal gatherings, and weekly staff lunches. Works with external clients to rent Edwards Campus facilities for educational programs. Determine technology needs and overall logistics of the events. Updates event scheduling software with most current event details to inform the Events Coordinator, Facilities staff, Information Technology staff and KU Public Safety of event requirements.
25% Administrative - Provides support with creating and distributing daily event signage, follow up surveys, and answering department email and phone. Assists with internal staff communication. Oversees departmental parking passes. Oversees Regnier Hall Administration suite needs and is responsible for the opening and closing of Regnier Hall 170 suite.
20% Front Desk/Customer Service Support - Serves on a team for first point of contact requiring strong customer service skills. Provides information to students, faculty, staff and community patrons on general aspects of campus services and directs them to the appropriate department for detailed information. Supports Regents Center desk as needed. Uses independent judgment to resolve problems as they arise. Refers any issues or concerns to supervisor.
5% - Supports administration with special projects.
5% - Other duties as assigned

Required Qualifications

  • Experience work in a hospitality role.
  • Experience using Microsoft Office as evidenced in application materials.
  • Associates degree plus two years relevant experience
  • Work experience that required working independently with minimal supervision as outlined in application materials.
  • Excellent communication skills as evidenced in application materials.
  • Excellent customer service skills as outlined in application materials.
  • One year professional experience in an administrative support capacity

Preferred Qualifications

  • Bachelor’s Degree
  • Strong organizational skills as evidenced by application materials.
  • One year of experience working in a higher education setting.
  • Experience working with the public, with a strong affinity for working with students.
  • Experience working in Microsoft Teams, Hubspot, and/or 25 Live.
