Responsibilities


Administrative Assistant - Part Time - 24 Hours/Week - Day Shift - No Weekends or Holidays


HAVENWYCK HOSPITAL (a UHS facility)


Havenwyck Hospital is a 243 bed Joint Commission accredited and licensed psychiatric hospital in Auburn Hills, Michigan. We specialize in providing comprehensive, compassionate behavioral health services to children, adolescents and adults.


Position Summary


Reporting to the Director of Plant Operations (DPO), the Administrative Assistant provides primary administrative and organizational support.


Duties Will Include


  • Composes and prepares correspondence, responds to routine calls, correspondence and performs other administrative and clerical functions as assigned.
  • Completes associated expense reports, purchase authorizations, memos and associated correspondence.
  • Coordinates meetings and conference calls. Prepares agendas, takes minutes, maintains distribution lists and disseminates materials.
  • Expedites check requisitions.
  • Conducts follow-up for all business meetings with minimal direction.
  • Anticipates/coordinates scheduling and advance notices for committees and events and maintains project schedules. Assists DPO to maintain schedule daily.
  • Works a schedule tailored to the needs and objectives of the DPO.
  • Maintains DPO’s calendar, contact lists and appointments. Gathers and prepares all necessary documentation and resources for scheduled appointments.

Qualifications


Qualifications


  • Individual must be highly organized; detail focused with excellent time management skills.
  • Exhibits the ability to anticipate and predict daily and weekly needs of the DPO.
  • Bachelor’s degree preferred. Associate degree and/or 3+ years Administrative Assistant experience or a HS Diploma with 10+ years of Administrative Assistant experience required.
  • Must be highly proficient in Microsoft Office Word and Excel with excellent writing skills.
  • Data gathering and analysis experience a must.
  • Experienced in managing and implementing contracts preferred.
  • Experienced in settings where excellent customer service skills as well as independent problem solving are practiced.
