The Administrative Assistant position handles administrative duties and projects requiring initiative and the use of discretion. You will be a critical, highly valued member of the team. This role provides a high-level of administrative support to the Site Director team by researching information, preparing reports, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the team.


Essential Functions And Responsibilities


Greet visitors and manage access requirements.


Develop and distribute all department correspondence and information.


Perform general office duties such as ordering supplies


File and retrieve corporate documents, records, and reports as needed.


Provide general administrative support to Site Directors and employees, including scheduling and managing complex calendars and working with Project Managers to schedule on and offsite client meetings


Make travel arrangements (e.g.travel scheduling including internal and offsite meeting planning, schedules, updates, etc.) as well as subsequent expense management.


Communicate with internal/external partners at all levels of the organization.


Independently organize large internal department or cross-functional meetings onsite or offsite.


Perform confidential administrative duties by independently coordinating meetings, preparing agendas; completing a variety of non-routine tasks; coordinating department schedules, time management; serve as the primary


Compose and create letters, memos, and reports independently, ensuring grammatical accuracy, conformance with general policy and correctness.


Support the daily operations of the site, department, division or other organization unit assigned by assisting in meeting administrative goals and priorities for both short and long-term projects and monitoring day to day operations for efficiency and productivity.


Proactively stay informed of company policies, procedures, and guidelines relevant to the functioning of the site and guide such to applicable staff with appropriate reminders of upcoming events and projected related deadlines.


Assist in coordinating site activities as needed


Back up other administrative assistants as needed


Qualifications


A minimum of a high school diploma with Associates degree preferred.


A minimum of four (4) years of administration experience


Highly proficient in Microsoft Word, Excel, Outlook, and PowerPoint.


Knowledge of NetSuite, Concur, Teams and Zoom preferred


Attention to detail


Strong multi-tasking skills


Organizational skills and the ability to establish and revise priorities within scope of responsibilities is required.


Ability to work independently under minimal supervision is required.


Maintain the security and confidentiality of highly sensitive documents, information, and proposals.

This role operates within a professional office environment of a manufacturing operations plant. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Seating is mixed and includes open space seating, cubicle, and office space.


Physical Requirements

This role is sedentary. An individual may occasionally exert up to 50 pounds of force or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Sedentary entails sitting most of the time but may involve walking or standing for brief periods.


Must be capable of moving, sitting, stretching, stooping, reaching with hands and arms, and have vision sufficient to read materials.


Must be capable of using hands and fingers to operate a computer and other office productivity machinery such as copy machine, printer, and calculator.


Must have the ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in person, and on the telephone.
