Job Description
The Administrative Assistant provides personalized secretarial and administrative support in a timely\ manner to management, with a focus on the day-to-day activities of the company. This position\ requires a well-organized individual that can maintain a courteous and positive attitude with a strong\ work ethic. The Administrative Assistant must work independently, maintain a productive environment\ with little supervision, multi-task and switch between projects easily. The position also requires\ problem solving and critical thinking skills. The Administrative Assistant must have good technical,\ interpersonal and communication skills, along with excellent customer service skills. This position\ requires a team player that has good collaboration skills, while using discretion and maintaining\ confidentiality.\ Responsibilities\ Receive calls, take messages, route correspondence, and draft letters and/or email when\ necessary.\ Greeting and assisting customers.\ Collect and organize information for assigned projects.\ Handle requests and queries appropriately by directing them to the appropriate person.\ Schedule meetings and/or appointments, conference, and teleconference calls.\ Schedule appointments and meetings when necessary.\ Create presentations, slide decks, various marketing materials, and briefs for projects as\ directed.\ Plan special events.\ Protect operations by keeping information confidential.\ Prepare outgoing mail orders by assisting with daily shipping duties.\ Work directly with Celebration Ambassadors.\ Research data, information, and other inquiries when asked.\ Other duties as assigned, including taking direction from all management staff.\ Requirements\ At least five years of administrative support services in an agency, corporate, or private\ business. Will substitute for 2 years retail experience and 3 years administrative support\ experience.\ Excellent written and verbal communication skills.\ Must have a thorough understanding of basic office operations.\ Multi-tasking and time-management skills.\ Self-driven.\ Ability to prioritize tasks.\ Ability to work with little supervision.\ Ability to work in a fast-paced environment.\ Ability to take direction from multiple areas of management.\ Programs\ Google Drive, including Google Calendar and Docs\ Word processing software\ Basic email client skills\ Bonus Skill Requirements\ Some website design skills\ Design programs
