Job Description
The Administrative Assistant is responsible for a variety of administrative and clerical support services related to the organization, ensuring efficient operation of the office that includes administrative support to a variety of members of the company. Professional etiquette and a positive, can-do attitude are absolutely essential characteristics for any successful candidate. A strong attention to detail, clear organization, ability to multi-task, and exceptional communication, both written and verbal, are requirements.
Pay range is $24-26/hour DOE, plus benefits (Health Benefits, Vacation, Holidays, Retirement Plan)
Essential Duties And Responsibilities
  • Additional duties as assigned
  • Maintain front office with a professional appearance and high level of positive public relations with all visitors
  • Prepare project bid invitations and deliver to project managers, print plans, and distribute as required for each project
  • Answer multi-line telephone system and professionally direct all calls
  • Typing, data entry, file creation, filing, printing, and photocopying
  • Professional, efficient and clear daily communication and interaction with Project Managers, Superintendents, and Subcontractors
  • Compose, type, and distribute professional correspondence and emails using individual initiative and as assigned
  • Multiple file creation, management, and maintenance for all projects
  • Display friendly, high energy and engagement in answering or responding to inquiries from all persons

Education And/Or Experience
  • Minimum 35 wpm typing, with intermediate data entry skills
  • High school or Associate degree
  • One-year (1) administrative experience, customer service role, and/or training; or equivalent combination of education and experience; preferably within the construction industry
  • Experience answering calls on a multi-line phone system
  • Familiar with construction terminology (desired but not required)
Computer Skills
To perform this job successfully, an individual must have excellent computer skills and display proficiency in MS Suite, Word/Excel/Outlook, and Adobe PDF. The ability to use internet tools and to learn new software or apps quickly.
