PHASE Scientific has been a pivotal force in supporting the fight against COVID-19 through its full range of testing products and services (PCR community testing, INDICAID rapid test kits and INDICAID lab testing services). To date, PHASE has conducted over 3 million PCR tests and sold over 30 million INDICAID rapid test kits in over 30 countries. PHASE’s focus is to develop innovative products and services to redefine how diagnostics are delivered to both consumers and providers.

Overview:

The Administrative Assistant will work at the Irvine, CA site and will be reporting directly to the HR Manager who is primarily based in the Garden Grove, CA location. The ideal candidate will have excellent communication skills, know the importance of a professional workplace demeanor, and be highly organized. This individual will be responsible for a variety of tasks including general office administration, managing office supplies, scheduling appointments and events, assisting with the organization of events, and coordinating the ordering of lunchroom snacks.


Description:

  • Supports team by performing tasks related to organization and strong communication.
  • Assist with scheduling appointments and meetings for assigned senior staff as needed.
  • Assist with verifying receipt of supplies and other deliveries.
  • Perform daily administrative tasks such as maintaining records, processing paperwork, and providing a high level of customer service.
  • Monitor inventory levels of office supplies, place orders when necessary.
  • Assist with travel arrangements of senior staff.
  • Contributes to team effort by accomplishing related results as needed.
  • Answers phone calls, schedules meetings, and supports visitors.
  • Assist departments that are not on-site communicate with those that are.
  • Assist with all deliveries not specifically assigned elsewhere.
  • Assist with ordering, delivery, and stocking of lunchroom snacks.


Requirements:

  • A minimum of a High School diploma. A bachelor's degree or equivalent experience in business administration or a related field is preferred.
  • Proficiency in MS Office (MS Excel, MS Word, MS Outlook in particular)
  • Valid driver’s license and current automobile insurance
  • Excellent verbal and written communication skills.
  • Detail-oriented and able to perform tasks with a high degree of accuracy.
  • Strong organizational and planning skills.
  • Proven experience as an administrative assistant or in a similar role.
