Job Description
The Disaster Management division works with government agencies and communities to design and implement policies and programs to promote increased resilience to disasters and to promote long-term recovery in housing, economic revitalization, and infrastructure after disaster strikes. Our functional expertise is in program management, technical assistance, training, performance measurement and evaluation, website development, and adult learning. Clients include HUD, HHS, and USDA among others. We often work in close collaboration with ICF experts across the firm on issues related to energy efficiency and green building, infrastructure, disaster planning and recovery, financial literacy, job training, and others. All work is done in a professional, collegial, and intellectual environment that allows individuals to pursue their passions and generate results.
In response to ICF's Disaster Management growth, we are currently seeking an Administrative Assistant to join us immediately. This is a full-time benefits-eligible position located onsite in our new office space in Cupey, Puerto Rico.
As an Administrative Assistant you will:
  • Gather/organize information on project activities and for reports.
  • Assist management with task associated with invoicing, construction, case management, policy, administration, and customer service.
  • Create and edit correspondence documents, reports and presentations using Excel, PowerPoint, and Word
  • Provide Excellent Customer Service
  • Gather, scan, and store required program eligibility and other required information in electronic databases and case management systems.
  • Work on multiple tasks, often juggling priorities and working with tight deadlines.
  • Become knowledgeable of policies and procedures governing federally funded recovery programs including knowledge of procedures, policies, and directives associated with federal disaster recovery programs, specifically HUD CDBG-DR/MIT.
  • Perform a variety of responsible, confidential, and complex administrative and organizational functions.
  • Work closely with program applicants, Inspectors and Case Managers by coordinating and scheduling Meetings.
Must Have Qualifications:
  • 2+ years’ experience with Microsoft Office (Word, Excel, Outlook, and PowerPoint)
  • Associate’s degree or 3 years’ experience as an administrative assistant
  • Current residence in Puerto Rico
  • Fluent verbal and written communication skills in English and Spanish

  • Strong organizational skills, ability to prioritize, work under pressure, juggle multiple tasks, and organize time effectively.

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position. The pay range for this position is:
$35,482.00 - $60,319.00
