Job Description
Job Title: Administrative Assistant


Reports To: Office Manager


Employment Status & Rate: Part-Time, $14/hr


FLSA Status: Non-Exempt


Summary: Provides general clerical support to Office Manager. Inspects report processing and SWPPP book creation by performing the following duties.


Duties and Responsibilities:


  • Creates inspection reports for new projects.
  • Other duties as assigned.
  • Distributes inspection reports to client distribution lists.
  • Orders office supplies and maintains inventory levels.
  • Reviews and processes daily inspection reports from field specialists.
  • Creates and maintains client Distribution Lists.
  • Performs receptionist responsibilities.
  • Creates SWPPP books with all necessary documentation.
  • Performs other duties and special projects as requested by Management.
  • Responsible for monitoring job material inventory and assuring it is in stock.

Language Ability:


Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


Math Ability:


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Reasoning Ability:


Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.


Computer Skills:


To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Adobe Acrobat, and Microsoft Outlook.


Education/Experience:


High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience.
