The Administrative Assistant demonstrates daily the Burrell College of Osteopathic Medicine’s values for respect, trust, integrity, teamwork, and a commitment to a one team-one goal culture. The Administrative Assistant provides administrative support service to designated and respective Dean/Department Head/Director or equivalent level positions through assisting a department or group of professionals and requires the ability to exercise independent judgment and employ basic reasoning skills. The Administrative Assistant reports to the designated Dean/Department Head/Director, this designee will complete annual/probationary evaluations. The selected candidate will subscribe to and support our commitment to Inclusion, Diversity, Equity and Accountability.


Through the coordination of the appropriate supervisor, all Administrative Assistants within Burrell College are required to support each other’s workload during periods of high demand and to address institutional priorities. The Administrative Assistants should be willing to cross-train others on processes, systems, and policies within their domain and ask for assistance when appropriate as a member of the collaborative team. Such cross-departmental or division support, when required, will also be communicated, and coordinated between each respective supervisor.


  • This position reports to the Chair of Preclinical Medicine
  • This position is Non-Exempt.


Essential Duties and Responsibilities:


  • Process departmental purchase requisitions and reimbursements.
  • Perform other related duties as assigned.
  • Provide administrative support, such as answering telephones; serving as the initial point of contact for the department; providing information and direction to students, faculty/staff, and visitors; and resolving a range of administrative problems and inquiries.
  • Operate a personal computer to compose correspondence, and prepare agendas, presentations, and departmental reports.
  • Serve as a liaison with other departments.
  • Demonstrate an expert level of office equipment operations and ensures the equipment is maintained and in good working order.
  • Maintain departmental office supplies.
  • Attend required meetings, assist with preparing agenda, and take minutes as necessary.
  • Schedule and coordinate meetings, special events, interviews, appointments, and travel arrangements.
  • Distribute mail.

  • Strong organizational and planning skills that reflect the ability to prioritize competing demands, and complete action items efficiently with minimal supervision.
  • Ability to interact with individuals from different cultures and professional backgrounds, and exercise good “people skills” verbally and written.
  • Exceptional attention to detail
  • Outstanding customer service skills, and email/ phone etiquette
  • Ability to maintain the confidentiality of information and data.
  • Excellent communication skills, written and oral to communicate effectively to members of the college and be able to communicate workloads and time constraints to multiple stakeholders.


Minimum Qualifications and Experience:


  • Strong working knowledge of Microsoft Office applications
  • High School Diploma or GED
  • Three years of experience related to standard duties.
  • Basic competency with Adobe Acrobat
