The Position


Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.


Incumbents possess a degree of knowledge and proficiency sufficient to perform work independently with little or no additional training.


Prepare batches of documents to be scanned and indexed. This involves removing staples, paperclips, sticky notes, taping torn paper, counting documents and backs, assembling batches, and verifying document information accuracy. Scanning consists of collecting images from documents using an image scanner and scanner software. The Scanner Software creates a file where the document is stored until indexed. Scanning requires verification of image clarity, deletions and/or corrections of illegible documents and scanning. Indexing consists of entering information from an image created by the Scanning Software into a template and verifying accuracy of the index values. When indexed, the image can be retrieved using the Retrieval Software. Research Requests submitted by department staff to locate documents not in the retrieval system. This job requires knowledge of document backlog inventory. This position requires a valid driver's license due to frequent trips to the State Records Center for retrieval of stored documents. To Qualify


In order to be qualified, you must meet the following requirements:


Education and Experience (Minimum Qualifications) Graduation from high school or equivalent education and one year of clerical experience which included experience in one or more of the following areas: maintaining records, answering telephones, and reviewing forms, documents and other written materials; OR six months of experience as an Administrative Aid in Nevada State service; OR an equivalent combination of education and experience as described above. Special Requirements A pre-employment criminal history check and fingerprinting are required. Persons offered employment in this position will be required to pay for these items. This position requires a valid driver's license or evidence of equivalent mobility at the time of appointment and for continuing employment. The Examination Application Evaluation Exam The exam will consist of an application evaluation. It is essential that applications include detailed information with time frames regarding education and experience. The most qualified applicants will be contacted by the hiring agency for interview.
