About this role
What team will you be on?
BlackRock is recruiting for a dynamic Administrative Assistant for the Global Trading and Global Markets Relationship Management groups, within the BlackRock Global Markets (BGM) platform. This position is based in our New York office. We are looking for a great teammate with a positive attitude, deeply motivated, has an interest to keep learning and growing, as well as being very organized.
What will you be doing?
  • Ability to demonstrate flexibility and problem-solving skills to adjust and prioritize schedules based on last-minute changes
  • Calendar management and administration for senior leaders, including the complex coordination of meetings and video conferences with multiple participants across global time zones
  • Organize and handle logistics for internal/external meetings, team events, strategy sessions, and conferences (securing conference rooms, placing catering orders, registering guests and ordering office supplies)
  • Anticipate necessary background material ensuring team members have everything they need in advance of their meetings including a detailed travel itinerary, air, hotel, cars, directions, presentation books, verified meeting addresses, contact information, etc.
  • Processing Gifts & Entertainment records and Expenses using Concur and G&E System
  • Build and maintain good business relationships with executives and administrative staff across the organization
  • Provide back- up coverage for team members; Represent the team by greeting visitors and guests and answering multiple phone lines
  • Provide support in the organization and compilation of materials for various committees and meetings
  • Arrange and oversee domestic and international travel (flights, hotels, cars, visas if required) using Concur
  • Use Microsoft Word, Excel, and PowerPoint to produce presentations and regular reporting responsibilities
What We Are Looking For
  • Minimum of seven years of professional / corporate or administrative experience preferred
  • Experience in roles that work with external clients and executive management
  • Bachelor’s degree
  • Absolute discretion and appropriate handling of highly sensitive and confidential information alongside demonstrating the highest standard of conduct, performance, and business ethics
  • Proficiency working with automated expense tracking and online travel; experience using Concur preferred
  • Organized, responsive and can communicate with a can-do attitude, while remaining agile and flexible to understanding priorities and demonstrating the ability to stay composed under pressure
  • A collaborative teammate, deeply motivated, inventive, and organized
  • Experience in a dynamic corporate environment supporting several leaders or a team with a global remit in a fast paced environment - financial services industry is a plus
  • Enthusiastic, hardworking, confident and have a positive attitude
For New York City only: The salary range for this position is $70,000 - $110,000 which is the equivalent of $33.65 - $52.88 per hour. Additionally, employees are eligible for an annual discretionary bonus, and benefits including heath care, leave benefits, and retirement benefits. BlackRock operates a pay-for-performance compensation philosophy and your total compensation may vary based on role, location, and firm, department and individual performance.
