Position Description
Two (2) Permanent exempt, Full-time, Full-year positions.
Exempt employees are considered “at-will” and serve at the discretion of the appointing officer.
These positions are grant-funded and is funded on a yearly basis. Hours are subject to change after appointment dependent upon grant status.
Under the general supervision of the Dean of Student Success and/or designee, the Technical Instructional Assistant ( TIA ) Evaluation Technician will perform highly technical duties to support the Completion Center operations and collaborate with the Counseling Department and other departments at City College of San Francisco to support credit and noncredit students.
These positions will support the operations of the Online Education Plan, Degree Audit, and Early Alert Systems for credit and noncredit programs. In addition, these positions will collaborate with the Office of Instruction in inputting College Catalog and curriculum data in the Student Information System for credit and noncredit programs; use technology to enhance operations and student experience; and assist in the evaluation of departmental policies, and/or program evaluation and planning. These positions may require extended and weekend hours during student registration periods.
Note: These positions may be required to work evenings and weekends and assigned to work on the Ocean Campus and/or at different centers as needed.
Job Duties
1. Create and sustain a welcoming and respectful atmosphere by demonstrating understanding and sensitivity to students with diverse backgrounds. 2. Support the operations of the early alert, education plan and degree audit system for credit and noncredit certificate and degree programs to enable counselors and students to run credit and noncredit program audit reports and complete credit and noncredit education plans by making corrections to update the program requirements in the online education plan and audit system, and scribing, entering, maintaining and correcting data. 3. Assist with the development of a transfer course equivalency database that will be integrated into the online education plan and degree audit system. 4. Review and verify student records, assist student with certificate petitions and graduation and completion concerns and refer students to see a counselor as appropriate.
5. Help scribe and enter data, curriculum information, and student data in the Online Education Plan, Degree Audit, and Early Alert Systems for both credit and noncredit programs. 6. Work with other departments such as Counseling, ITS , Office of Instruction, Admissions and Records to troubleshoot issues in the Online Education Plan, Degree Audit, and Early Alert Systems for credit and noncredit programs. 7. Assist the College efforts to develop and implement the Completion Center initiatives and projects, including but not limited to auto-petition process for credit and noncredit programs. 8. Help to input College Catalog and curriculum coding and data in the Student Information System (Banner). 9. Review and verify student records and assist students throughout the enrollment, registration, and student completion process in credit and noncredit programs. 10. Provide support and assistance to students in filling out the credit and noncredit certificate and degree petitions. 11. Use current and emerging technology and computer applications such as word processing, email, spreadsheet, database, Degree Audit, Early Alert, and/or other applications for duties. 12. Provide services to students and the public, in-person, on campus, and online, and connect them with appropriate services in a professional, respectful, diplomatic, and timely manner. 13. Communicate effectively and professionally with the public, students, other employees, vendors, and other stakeholders tactfully, clearly, concisely, and courteously to address and resolve issues, concerns, and needs while working under steady pressure with frequent interruptions. 14. Assist in the development of operational policies and procedures for the department in compliance with overall CCSF goals. 15. Explain laws, regulations, policies, and procedures to students and other stakeholders clearly and concisely in both verbal and written forms. 16. Keep up to date, by participating in activities such as conferences, professional development, and workshops/classes in the technology learning center while enforcing and implementing appropriate policies and regulations. 17. Update and maintain the department webpages and ensure information (digital and printed) provided to the public and staff is accurate and up-to-date. 18. Assist in events, workshops, and special projects to help grow enrollment and promote student completion in credit and noncredit programs. 19. If assigned, act as a lead worker to clerical staff and/or student workers/lab aides to support counseling services. 20. Prepare promotional materials to promote the Completion Center services to students and the college community by tabling at special events, engaging in outreach activities, and doing presentations about the Completion Center. 21. Provide support to counseling services and Completion Center operations to promote a positive student experience and timely completion of students’ educational goals. 22. Perform other duties as assigned.
Minimum Qualifications
A BS/BA degree
OR
AA/AS degree AND two years (4000 hours) of relevant paid experience in a Registration or Admissions and Records Office; OR
Four (4) years (8000 hours) of relevant experience in a Registration or Admissions and Records Office or Student Services, preferable in a college setting.
Note: Work experience with the District as a College Work Study student or Lab Aide (3591 Classification) will not be considered or applied as qualifying experience.
Desirable Qualifications
1. Experience with the Degree Works Education Plan and Degree Audit System.
2. Experience working in Community College programs or settings supporting students.
3. Demonstrate knowledge and sensitivity of issues and concerns related to students in both credit and noncredit divisions.
4. Experience working, serving, and supporting students with diverse backgrounds at different college locations or centers.
5. Ability to perform a variety of tasks simultaneously and/or under pressure and strict timelines.
6. Excellent written and verbal communication skills.
7. Proficient in Outlook, Microsoft Office, and Google Docs. Ability to utilize current technology to enhance services, administer website updates and other programmatic requirements as needed.
8. Ability to interpret policies, procedures, and regulations and to disseminate information.
9. Ability to maintain good interpersonal working relationships with a variety of college stakeholders including staff and students.
10. Self-motivated and experience in prioritizing many different projects simultaneously, follow- through, and timely completion of projects by established deadlines.
11. Fluent in oral and written Chinese or Spanish.
Benefits
1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only ( STO ) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school-term-only ( STO ) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
2. New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund ( RHCTF ).
