Touring Assistant Jobs

Working knowledge and experience with industrial machines, motors, gearboxes and related tools, including uses, repair, and maintenance

Develop a thorough knowledge of automation equipment specific to the production in order to operate it safely

Working knowledge of AC\DC theory and electrical safety

Some touring or event production experience required

Strong verbal communication skills and professionalism mandatory

OSHA 10 certification a plus but training and certification will be provided

Operate within standard operating and safety procedures

Maintain Customer Relationship Management database with notes regarding client needs and customers’ paths through the sales funnel.

- A TYPICAL (8 HOUR) DAY might include:

1 Hour updating mailing list recipients’ contact information

1 Hour redoubling efforts on the hot-button item of the day.

Strong task management skills, used to proactively build processes that benefit the business

Manage phone, calendar, and research for meetings; schedule meetings and calls, internally and externally 

Manage and maintain spreadsheets, and draft communications

Minimum 1+ years’ assistant experience, a plus within the entertainment industry

Highly proficient technical skills with Microsoft Office suite (Excel, Word, PowerPoint)

Knowledge and curiosity for key players throughout the entertainment industry

Tracks local and touring crew per the prevailing contract and reports to Company Management for payroll and settlement purposes

Work closely with Production Management to advise on hiring, firing, and disciplinary action of all touring crew members

Create documentation for the technical aspects of each venue stop on the route

Problem solve and check in on all departments

Run cues as designated during tech

Observe all scene changes for safety

Ensure that information appears in proper categories on proposal and submit for review by the Account Executive.

Create quote files and issue authorized proposal to clients.

Maintain accurate tour information on Sharepoint

Deal directly with clients for COI (Certificate of Insurance) for each tour/project

Coordinate invoices for damaged gear with Operations and bill client

Calculate accurate taxes based on routing and generate billing accordingly

Manage heavy incoming and outgoing call volume and emails

Manage agent travel and prepare expense reports

Strong knowledge of music touring

Work with clients across Hip Hop and R&B genres

Independently book and route tours with minimal agent supervision

Serve as point of contact for clients, agents/executives, and other industry connections

Essential functions may include, but are not limited to:

At least 1 year of professional administrative experience supporting an executive in a fast-paced environment.

At least 1 year of professional experience working in the music industry.

Experience with booking artists is a plus but not required.

Experience working at an agency is a plus but not required.

Strong organizational and communication skills; written and verbal.

Strong professional interpersonal skills, while understanding the importance of maintaining confidentiality.
