Posting Summary


Rutgers, The State University of New Jersey, is seeking a per diem Staff Assistant for the Office of Education at the Robert Wood Johnson Medical School.


This Staff Assistant will support the registrar office and the office of education. This position will spend equivalent to two days a week supporting the registrar office processing visiting student applications and filing. Additionally, the assistant will spend equivalent to one day a week supporting experiential, community, and clinical experiences for medical students in the pre-clerkship curriculum.


Among the key duties of this position are the following:


  • Support other office duties in the registrar office (filing, etc).
  • Assist in organizing, tracking, and communicating for the medical students’ activities in the Experiential learning selective and Clinical Observerships. Supports OSCES , labs, simulation, and other active learning needs.
  • Performs other related duties as assigned.
  • Managing the Visiting Student Learning Opportunity ( VSLO ) portal. Work closely with the assistant registrar to do such steps as review applications, coordinate with the residency programs, communicate with applicants, ensure background checks and affiliation agreements are in place, share rosters and upload grades, and support our medical students in applying for electives at other school.

Minimum Education and Experience


  • Additional experience may be substituted for the degree on a year-for-year basis.
  • Must have experience with word processing, spreadsheet, and other office software.
  • Evidence of professional experience involving organization and administrative practices preferably in an educational institution.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
  • Associate’s Degree.
