About You

This individual will process all bills of lading, shipping documentation, and other records for incoming and outgoing materials, products, parts, and operating equipment. They will receive and arrange for the distribution of non-inventory items, such as MRO or other internally used items. They will also provide general recordkeeping and administrative support to the materials department regarding shipping and receiving functions.

Job Duties & Responsibilities

  • Receives shipping documentation regarding incoming materials and releases materials via computerized inventory system so that materials may be checked, stocked and used.
  • All other duties and responsibilities as assigned
  • Obtains invoices of incoming shipments, receives EDI data and reconciles errors with Purchasing, and schedules shipment arrivals and material distributions within VB warehouses.
  • Provides general administrative support by generating special and regular reports, maintaining department files and records, and maintaining department office equipment and supplies.
  • Receives incoming non-inventory shipments (MRO). Physically inspects each shipment for damage, content, and count. Matches packing slips or other shipping documentation with internal purchase orders and delivers to or arranges for the delivery to receiving party. Processes records of delivery and distributes to appropriate personnel.
  • Works with other departments to process returns, reconcile incorrect shipments, or track and expedite urgent or rush orders.
  • Maintains records, files, and other systems and retrieves information as needed for special shipments, receipts, or internal transfers. Provides documentation to other departments as needed for payment of invoices, for future billing or account reconciliation, or for material storage location.
  • Makes adjustments to computerized inventory system in conjunction with inventory control personnel to correct or adjust inventory system problems, material problems, or location problems.
  • Receives, ships, and processes special request orders, such as molds, tooling, prototype products, collateral items, etc.
