Job Description

Position Objective: To independently provide support services to satisfy the overall operational objectives of the National Institute of Arthritis and Musculoskeletal & Skin Diseases (NIAMS).
Duties And Responsibilities
  • Tracks FTE and non-FTE appointments, conversions, and reassignments
  • Assists the Administrative Officer with practical and technical aspects of office administration, to include procurement, budget, human resources, office automation, training, timekeeping, and travel, and performs staff support work in each of these areas
  • Performs a variety of human resource related duties to include, preparation of personnel packages and updates, assistance with the recruitment process, assistance with in-and-out processing of staff, and maintenance of updated reports on personnel actions in progress, and projected. Prepares personnel actions for performance increases, awards, and other actions
  • Responsible for logs and reports as needed to monitor and track projects within the office and items needing follow-up. Maintains an electronic “tickler” system to ensure deadlines are met on time and sends reminders to staff as deadlines approach
  • Provides technical assistance to the AO’s in the formulation and development of budget estimates. Identifies, compiles, verifies, and organizes a wide variety of detailed budgetary data related to different accounts, object codes and line items in support of human resources, procurement, travel, etc.
  • Provides guidance to staff on office and administrative procedures
  • Provides support in the areas of space, facilities and parking. Informs staff of changes related to these areas in a timely manner
  • Develops and maintains filing systems. Retains and disposes files, charts and information in accordance with policy and regulations
  • Uses various software applications such as Word (word processing), Excel (spreadsheets), PowerPoint (presentations), to create documents for staff.
  • Attends program and project meetings
  • Responds to requests from senior staff and PI’s for information from multiple sources. Coordinates and assembles data to respond to inquiries from senior management
  • Tracks all personnel, supply, training, and other administrative transactions as the documentation flows through the office in both electronic form and hard copy
  • Receives and directs visitors, notifies appropriate personnel of visitors’ presence and nature of business. Assesses need of escort and makes arrangements for those needs as necessary. Also, determines the level of importance and priority of visitors’ business
  • Coordinates the logistics of meetings for senior staff, such as scheduling a conference room, ensuring audiovisual support, copies are made, read-ahead packets sent out, etc.
  • Provides general information to the public on the organization’s programs either in response to telephone inquiries or to incoming correspondence. Follows up as appropriate
  • Acts as primary assistant to the Administrative Officer in coordinating issues related to the staff, facilities, and resources of each laboratory supported
Basic Qualifications
  • A college degree or a high school diploma and four (4) years of related work experience
Minimum Qualifications
Ability to perform more complex administrative tasks
  • Possess advanced computer skills
  • Ability to support senior level staff
  • Ability to perform a variety of administrative functions
