The Opportunity:

We are seeking individuals who are passionate about hospitality and possess a keen attention to detail to join our Sales & Catering team as a Sales & Catering Coordinator!

The Sales & Catering Coordinator is responsible for providing administrative support to the Sales & Catering Managers and Directors.

This position assists with administering proposals, contracts, BEO’s, daily change logs, guarantees for events, analytical data reporting, and is responsible for general office administration. The Coordinator acts as a liaison with the hotel’s Department and Division Heads in planning internal Four Seasons meetings.

Responsibilities Include (but are not limited to):

  • The ability to efficiently utilize computers to complete all correspondence (proposals, contracts, form letters, internal forms, etc.).
  • The ability to produce meeting packets.
  • The ability to complete and process properly purchase orders.
  • The ability to handle contracts and inquiries, both for tentative and definite groups.
  • The ability to maintain all catering files in accordance with established procedures and standards.
  • The ability to take individual reservations.
  • The ability to process all mass and special mailings generated by the catering office or for related catering purposes.
  • The ability to complete accounting paper work when handling invoices and coordinate correspondence with third parties on behalf of superiors.
  • The ability to book internal meetings and follow through with proper booking procedures.
  • The ability to ensure all information regarding each group is sent to the proper department on schedule in order to facilitate the proper handling of the group.
  • The ability to assist in completing special projects which may include mailings, competitive surveys, menus or other assigned duties; maintain and order office supplies
  • The ability to read and understand the function space diary
  • The ability to greet sales and/or sales clients and give them tours if necessary.
  • The ability to perform administrative skills such as typing, filing, copying, opening and sorting mail, coordinating appointments for the Sales & Catering Managers and answer telephones according to Four Seasons standards.
  • The ability to complete all reports on a timely and accurate basis.
  • The ability to generate weekly, monthly and quarterly sales reports

Preferred Qualifications and Skills:

  • Ability to multi-task effectively, managing multiple projects while being cognizant of deadlines and priorities
  • Two years previous experience in marketing/sales/catering role preferred, hospitality experience beneficial
  • Excellent writing, presentation and communications skills
  • Extremely organized
  • Requires reading, writing and oral proficiency in the English language.
  • College graduate
  • Proficient in MS Office
