Job Description
The department of Otolaryngology and Dermatology at the University of Iowa are seeking a Research Support Specialist. This person will support and manage sponsored research, budgetary and regulatory activities within the Departments of Otolaryngology and Dermatology. Key areas of responsibilities include, preparing and submitting IRB applications and progress reports, clinical trial invoicing, with limited supervision/staffing.


Position Responsibilities


  • Maintain electronic departmental grant and contract files.
  • Submit routine IRB, ACURF or similar protocol submissions, if applicable.
  • Maintain effective working relationships with faculty, staff, students and the public.
  • Contribute to periodic and special reports for the Department annual budget, the DEO, University administrators and/or granting agencies, such as reporting grants submitted and received.
  • Submit invoices to sponsor for payment when not done by Grant Accounting.
  • Coordinate grant application process after documents have been routed. Review pending log for application rejections, approvals. Follow up on contracts, as needed. Create electronic files for awarded grants and verify personnel have been added to the new funding source.
  • Perform queries for funding opportunities. Perform routine review of grant funding agency regulations to identify/obtain specific grant or guideline information and to assure information is integrated into the grant submission documents appropriately. Communicate funding opportunities.
  • Identify web CVs for correction.
  • Monitor grant end dates. Work with PI on grant close out activities, including personnel funding issues.
  • Work with Human Resources regarding issues relating to funding and furlough notices; respond to requests on funding availability from human resources.
  • Prepare Institutional Review Board documents or other submissions and required new and annual regulatory documents.
  • Assist in the coordination/collection and preparation of data for research/grant proposals; evaluate request for proposals, reviews proposals and assure completeness, route proposals through departmental grant checklist process and UIRIS routing.
  • Coordinate change in status activity with awarded grants or changes due to grants ending or approval of effort reduction.
  • Represent the interests of the University and of unit leadership in the use of resources to meet service and productivity demands within unit goals and budgets; strive to promote continual process and quality improvement.
  • Review and reconcile Grant Accounting workbook for grant closing.
  • Reconcile TDRs (electronic financial reports) for inconsistencies and determine what further action is needed.
  • Demonstrate respect for all members of the University community in the course of performing one’s duties and in response to administrators, supervisors, coworkers, and customers.
  • Serve as a departmental resource and assists in the resolution of pre and post award inquiries from PIs, divisional support leads, other intra departmental administrative personnel, university departments and outside agencies.
  • Assist with the preparation and submission of post-award financial and other reports and schedules for University and granting agencies.
  • Develop budgets for grant and federal clinical trial submission and assist Principal Investigators in interpreting sponsor and third-party regulations.
  • Manage and organize regulator documentation.
  • Manage and organize regulator documentation.
  • Monitor compliance with contract/grant terms in accordance with University policies and state and federal regulations.
  • Prepare regulatory submissions.
  • Assist faculty, staff and students with preparation and submissions of proposals. Coordinate paper and electronic submissions with Faculty. Participate in the development and preparation of grant proposals including budget preparation. Review and respond to internal requests for information. Review and proof information to ensure documents are accurate and complete prior to submission to Sponsored Programs.
  • Assist in the evaluation and updating of systems/procedures for streamlining grant management operations. Provide input for the initiation of new processes.
  • Provide support to/perform the annual lab space survey and review/reconciliation of the space metrics analysis by Facility Mgmt.

Education Requirements


  • A Bachelor’s degree in Business Administration, Accounting or Finance or an equivalent combination of education and experience.
  • Experience Requirements:
  • Demonstrated experience and proficiency with computer applications and software programs
  • Experience developing budgets.
  • Excellent written, verbal and interpersonal communication skills.
  • Knowledge of and experience with contract and/or grant application processes.
  • One to three years of related grant experience.


Desired Qualifications


  • Experience managing or administering grants, including pre and post-award activities.
  • Previous experience in working with clinical trial budgets
  • Experience working with computer programs or applications specific to grant submissions (e.g. Cayuse, RPPR and Proposal Central).
  • Knowledge of and experience with NIH grant processes and requirements.
  • Experience with account reconciliation.
