The position of Recruiting Coordinator / Executive Assistant is designed to support the needs of the Executives and supporting the base function of recruitment by supporting Staff with general administrative and web technical duties.
In addition to the below specified duties, the expectations of this position requires managing their own work so that all duties below will be performed in a time sensitive manner. It also requires working cohesively with all staff and management, in addition to dealing with clients and other contacts in a professional manner.
The position requires a person with a desire to work with details, documents, spreadsheets, data and websites. This person must be able to function well under pressure and have excellent customer service skills.
Responsibilities
  • Work with recruiting vendors
  • To provide administrative support for the Executives
  • Administrative functions of the hiring process
  • Demonstrate ability to complete all tasks with a high degree of accuracy, attention to detail and follow-up
  • Calendar Management
  • Ensure excellent, accurate and timely communication between clients, as well as internal/ external customers to resolve issues, complete tasks, etc.
  • Provide event planning assistance for meetings and special programs; to include following up with presenters, assisting exhibitors, registering members and guests for events, printing nametags and tent cards and assisting the staff with preparation of other meeting materials.
  • Source, screen, and facilitate candidates and resumes through a successful interviewing process
  • Travel Coordination and Scheduling
  • Oversee and perform selected key functions for the implementation of all programs, special projects, etc. for account(s)
  • Communicate in a professional and accurate manner
  • Manage the job posting and applicants
Requirements
  • Must be proficient with Microsoft Office (Excel, Word, Power Point and Outlook)
  • Strong problem solving skills and the ability to handle multiple tasks/ projects in an organized manner, paying close attention to detail and follow-up, is required.
  • Draft, edit, proofread, and review internal and external correspondence, emails, reports, and mailings
  • Must be organized, self-driven and detail oriented
  • Must possess excellent written and verbal communication skills
  • Must have a high degree of professionalism with excellent interpersonal, customer relations and organizational skills required.
  • Must be able to effectively manage confidential information
  • Ability to work independently and take direction from multiple persons (when needed), work under pressure, and adapt to sudden changes in the work environment is essential.
