O'Melveny has an immediate opening for a Records Coordinator/Archivist in our San Francisco office. This position is responsible for maintaining the integrity of client files kept onsite and offsite, coordinating the transfer of files to offsite storage, handling requests for retrieval of electronic media and paper documents, maintaining an archival database for data within the firm’s various departments and other basic administrative assistance as assigned.
The salary range in CA for this role is $62,000 - $70,000 and represents the firm’s good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, and location.
Essential Duties and Responsibilities:
- Coordinates space management, offsite storage, file releases and arranges the departing attorney process.
- Organizes, indexes and maintains client and administrative data in either paper or electronic format. Responsible for protecting the confidentiality of client data.
- Ensures that all Records Department policies and procedures are implemented and followed.
- Arranges training and provides support to all levels of staff to ensure accurate filing and easy retrieval of data within the firms’ document management system and performs quality control reviews.
- Assists with the use of artificial intelligence and other technology tools such as Relativity to efficiently sort, filter and organize electronic records.
- Assists with the coordination of records management projects at a Firmwide level.
- Coordinates assignments, tasks and staff requests within the San Francisco and Silicon Valley Records Department.
- Develops and streamlines policies and procedures for the management, storage and imaging of archival documents and other materials. Analyzes all records in a variety of formats created by departments within the firm.
- Perform other duties and responsibilities as assigned.
