Position: Receptionist
Position Details:

Overall Purpose:
As Receptionist, you will be the first point of contact and first impression of our Company. A consistently friendly, professional personality along with a positive “can-do” demeanor are paramount. You will welcome clients and greet people who visit the Company. Receptionist duties include offering administrative support across the organization in the capacity of a Client Service Representative, when required.

Essential Duties:
  • Welcomes and greets clients/visitors as soon as they arrive.
  • Screens unscheduled solicitors.
  • Receives and sorts daily mail, packages and deliveries.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations established by
  • Notifies company personnel of client/visitor arrivals and directs and escorts client/visitors.

  • Prepare and mail new business and renewal policies to clients.
  • Build and maintain rapport with brokers, clients and insurance carrier personnel.
  • Perform other clerical duties such as filing, photocopying, mailing, binding and faxing.
  • Work on special projects that may be assigned by management as necessary.
Office Equipment / Software Used:
  • Microsoft Windows Operating System – must be proficient in MS Word, Excel, Power Point, Outlook, and
other MS Office applications.
  • Inter-office network; Internet access; e-mail – internally, with carriers, and with prospects/clients/others.
  • Telephone, fax, copier, printer, document scanner and binding machine.
  • Agency Management System (Applied Epic) and related programs.
Qualifications:
  • High school diploma (required).
  • Minimum of 5 years receptionist and administrative assistant experience (required); experience in professional
work setting (preferred).
  • Ability to maintain and foster existing client relationships as well as cultivate new relationships with client
prospects is critical to success.
  • Adapts quickly to change in systems, policies and procedures.
  • Consistently looks for new challenges and opportunities to add value to both clients and organization.
  • Strong Microsoft Office skills (preferred).
  • Must possess a positive, motivated attitude; results driven personality.
  • Excellent communicative skills, both orally and in writing are essential.
  • Ability to prioritize multiple tasks in a fast-paced sales environment is crucial.
  • Must be detail oriented, thorough, organized and efficient in executing tasks.
