Job Description

Position Description:

The spa front desk plays a pivotal role in the smooth running of the spa. As such, the Spa Concierge assumes a vital role in each and every logistical operation relating directly and indirectly to overall guest satisfaction and ultimate success of the spa. Given the integral nature of the position, the spa concierge demeanor must be reflective at all times and of the highest standards of professionalism exemplified by IP. A consistently positive attitude, knowledge of all facets of the operation and attention to detail are traits which our spa receptionists must possess.

  • Constantly ensuring efficient, correct and accurate POS with all tickets
  • Constantly assist guests with retail product selections and educate them on correct use
  • Constantly provide excellent guest services to all spa guests
  • Constantly demonstrates exceptional knowledge of the spa’s treatments, products used, their benefits, and ingredients and be able to communicate these to guests
  • Constantly answering phones, booking appointments, checking guests in and out of the facility and completing all shift reports and paperwork accurately
  • Constantly proactively monitoring the books to ensure:
  • Constantly informing guests of all services available, describing each in detail, and booking according to guests needs and preferences
  • Constantly up-selling services to groups and clients to increase spa revenues

(1) Reservations, including group reservations, are complete and correct in order to foresee and prevent problems and guest complaints

(2) Reservations are made with regard to productivity to reduce the amount of down time for therapists, estheticians, and salon staff.

  • Constantly participating in meetings to discuss and share pertinent information with spa management and to find ways to improve guest service, product quality, and productivity
  • Constantly monitoring the guest areas of spa to ensure that the front desk, retail area, locker areas, are at all times neat, orderly, and well stocked
  • Constantly ensuring that service standards are met at all times for the front of spa areas including front desk, retail area, and locker areas; following all policies and procedures as provided by spa manager
  • Constantly report any guest issues
  • Constantly comply with all policies and procedures
  • Occasionally help train new associates
  • Constantly completing special tasks deemed necessary by spa management in a timely manner and without prompting
  • Constantly help in all areas of the spa
  • Constantly communicate to management and pass on pertinent information regarding the facility, associates, guests, supplies/repairs needed, and other relevant information
  • Constantly perform any or all duties as assigned by management
  • Constantly make all guests feel welcome and take ownership of simple requests
  • Constantly follow uniform and grooming guidelines
  • Constantly ascertaining satisfaction of guests upon check-out and dealing with guest complaints as appropriate
  • Constantly complete all established checklists
  • Constantly follow the V.I.E.W. steps on a consistent basis
  • Constantly always look for organization opportunities without being asked to do so

Position Requirements:

  • Ability to type at least 40 words per minute
  • Oral and written proficiency in the English language
  • Must possess excellent communication skills with the ability to express self in a professional, clear, and concise fashion.
  • 1+ year employment in a spa/salon environment
  • Must present a polished, impeccable appearance and a professional demeanor
  • A superior sense of organization, control, and ability to prioritize in a fast paced, busy environment.
  • Must be able to work flexible hours
  • Retail experiences a plus
  • Preferred spa knowledge and computer knowledge
  • Must be 18 years of age
  • 2 years college or equivalent experience
  • Must be able to get along with co-workers and work as a team
  • Constantly using wrist motion, dexterity, eye/hand coordination, writing.
  • Constant standing, sitting, listening, reading, and speaking
  • Physically able to stand, bend, lean, and walk for up to 10 hours. Able to lift and carry up to 20 pounds
