DEPARTMENT: Community Life

JOB TITLE: Receptionist- Evenings and Weekends

REPORTS TO: Director of Community Life

INTERFACES WITH: Residents; Family members; Department Directors; Staff; Visitors; Vendors; Persons entering the Residence

JOB PURPOSE:

As a member of the Community Life department the Receptionist:

  • Acts as an ambassador of Youville, performs all duties in a gracious and efficient manner exhibiting good interpersonal skills to maintain a high level of professionalism among staff and to interact with the public favorably for Youville House
  • Performs administrative services for the Executive Director and other department directors
  • Provides concierge services for the residents and their families
  • Follows established safety procedures to maintain a heightened awareness of resident well-being

CORE DUTIES AND DEPARTMENTAL EXPECTATIONS:

  • Acts as a role model within and outside of the residence
  • Maintains a positive and respectful attitude
  • Meet and exceed Youville standards for hospitality and services
  • Maintain confidentiality
  • Incorporate the mission and philosophy of Youville into daily tasks
  • Youville, in accordance with its mission, is committed to environmental sustainability and the promotion of a healthier environment. All staff are required to be good stewards of the environment by conserving energy and water resources, appropriately segregating solid, recycling, and bio-hazardous waste streams, and following all procedures for safe use of chemicals in the workplace
  • Adhere to safety and health regulations and policies
  • Perform all duties in a manner consistent with regulations set forth by the Massachusetts Executive Office of Elder Affairs
  • Demonstrates flexible and efficient time management and ability to prioritize workload
  • Assist in emergencies that occur in the residence
  • Report changes in resident behavior or unusual circumstances to Director of Wellness
  • Demonstrate sensitive communication skills
  • Adhere to policies and procedures of Youville, as well as policies specific to department
  • Participate in continuing education as required by the Massachusetts Executive Office of Elder Affairs

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist vendors to insure delivery to appropriate locations
  • Assist with Administrative needs of residence
  • Assist staff in assuring safety and welfare of residents
  • Assisting residents and family members with needs, e.g., hair salon appointments, dining room and other reservations, meal tickets for staff
  • Greeting the public
  • Perform concierge services that include:
  • Demonstrate superior customer service skills representing Youville favorably in all interactions
  • Report all appropriate information regarding residents and operations to appropriate staff
  • Document and communicate all information regarding unusual occurrences
  • Assist residents with “signing out” process
  • Maintain lobby, front desk and administrative area in an organized and efficient manner
  • Restock supplies and office equipment as needed
  • Know locations for, and understand front desk emergency protocols and equipment
  • Manage daily mail
  • Direct residents, family, and guest to appropriate staff for various services
  • Answer the telephone and direct all communication in an appropriate manner

REQUIREMENTS:

  • Associate’s or Bachelor’s degree in a related field preferred
  • Lift 30 lbs., sit, stand, walk, climb stairs, bend, push, and pull as required
  • Prior experience in concierge/receptionist experience in an active environment
  • Must be able to make decisions quickly and effectively, including emergency situations
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Able to contribute positively as part of a team, helping out various task as required
  • Excellent interpersonal, administration and verbal communication skills
  • Prior experience working with older adults in a senior living environment
  • Excellent time management and organizational skills

LANGUAGE SKILLS:

Possess good communication skills in English:

  • Enabling interaction with coworkers and residents
  • Reading and writing at level needed to fulfill job
  • Sensitive listening skills, good comprehension, effective speaking ability

REASONING/JUDGMENT ABILITY:

  • Ability to think clearly, assess and follow up in an appropriate and sensitive manner.
  • Must be patient and understanding of individual needs of residents and staff. These include physical, emotional and spiritual needs as related to the process of aging and adjustment to an assisted living setting.
