About The Department

The Position


This individual will join an extraordinary administrative team and play a key role in providing support for our expanding Lexington office. They will be supervised by a Site Admin and Operations Manager.


Relationships


This role will report to a Site Admin and Operations Manager.. Partner closely with existing team of the Receptionist and Administrative Support Specialist. Part of this position as Receptionist is a highly visible service position which includes taking an active role in creating a positive first impression of Dicerna for all vendors and visitors, possess a strong customer service mentality.


Essential Functions


  • Understanding of financial systems/processes, assisting with preparation of POs for entry into VenDi system
  • Daily understanding of all conference room bookings to manage conflicts and last-minute requests
  • Being the point person for all outside visitors. A keen sense of professionalism and ability to manage multiple interactions with calmness under pressure is essential
  • This position is the point person for working with Operations for building and office management
  • Actively support internal teams, as appropriate, to assist with industry conference coordination, calendar management, complex travel
  • Responsible for ensuring high quality standards and efficient processes are followed
  • Understanding a level of confidentiality as it relates to unexpected visitors by patients, FDA, immigration and board members is essential
  • Provide administrative support and office management tasks as needed
  • Prepare and process expense reports for corporate American Express card holders including reconciling charges for operational expenses and ELT members
  • Assist with complex schedules and meetings for multiple levels of the organization, which includes providing administrative support to teams as required. This also includes coordinating conference calls, remote meetings and managing all details and logistics
  • This position is the point person for employee queries and understanding fulfilling their needs as it relates to the business guidelines


Physical Requirements


0-10% overnight travel required.

  • Must exercise a high degree of professionalism, diplomacy and discretion in handling confidential information and sound judgment and confidentiality

  • Excellent organizational skills and attention to detail
  • Problem solving skills
  • Minimum of 1 year of experience in administrative/office management capacity

  • Excellent organizational skills and attention to detail
