Job Description

Jubitz is looking to add a Receptionist to our Customer Service team in Vancouver! We are a family owned and operated company that offers competitive hourly wages including medical benefits, paid time-off, discounts, and cash incentives.

Essential Functions & Responsibilities
  • Increase gallons sold to customers and cross market/cross sell all other Jubitz product lines according to procedure for all house accounts with superior, pro-active service.
  • Perform billing adjustment entries according to policy.
  • Handle cardlock payments for cash and credit customers as needed without accounts including counting cash till nightly.
  • Update hard files and computer records of accounts as necessary.
  • Communicate and remedy any customer complaints and needs through e-mail or appropriate forum and report service events directly to the sales representative if the account is in the customer or prospect “book” of another employee.
  • Mail out new account related reference materials.
  • Assist with the Sales Orders with the Warehouse as needed.
  • Professionally represent Jubitz in “network service management,” contacting other franchisees in pursuit of resolution to site-related complaints and incident reports.
  • Request testimonial letters and referrals from current customers.
  • Document all call history and activity into customer notes.
  • Responsible for maintaining “perfected” consolidations and developing branch opportunities.
  • Ensure telephone customers receive prompt service and are not left on hold for a long period.
  • Maintain the continuing service and product needs of all accounts, including the acceptance, documentation, and forwarding of new and change card orders.
  • Must verify existence of and maintain continuing call activity records in customer files.
  • Providing administrative support including processing mail and packages as needed.
  • Available one week out of each month to carry the 24-hour customer service cell phone. Contribute documentation of written communications to “reading file”.
  • Follow criteria set by Fleet Customer Service Manager for sales and customer service reporting.
  • Greet customers and answers questions and refer them to the appropriate person or department.
  • Answer all incoming telephone calls to Jubitz – Vancouver on a multi-line system and direct as needed. Greet and direct customers, visitors, and vendor, to appropriate locations and parties.
  • Print invoices reprints for customers from Trinium as needed.
  • Process Warehouse file maintenance and other office support as needed.
  • Provide price and site location information as necessary.
Skills And Experience
  • Demonstrated ability to create positive business outcomes and facilitate successful problem resolution.
  • Strong work ethic with demonstrated positive approach toward serving customers and supporting employees.
  • Computer competency at an intermediate or proficient level in a variety of software programs to include Microsoft office programs and Microsoft Excel is required, transportation management software (Trinium, Pipeline, Smartlogics), Fleet Card Marketer, and others is strongly preferred.
  • Ability to calculate figures using addition, subtraction, multiplication, division, and percentages.
  • Great communicator and relationship builder; able to maintain effective working relationships while interacting daily with a diverse set of stakeholders.
  • Excellent communication skills to include reading, writing, listening, & speaking.
  • Ability to handle a complex variety of tasks simultaneously while maintaining professional composure and positive approach.
  • Position is responsible for monitoring on-call customer service phone one week out of each month.
  • Must be able to handle inbound and outbound calls.
  • Minimum of two years’ experience in a bank card, call center, or commercial account management environment is required.
  • High School diploma or GED required, Associate’s Degree strongly preferred.
Additional Notes
This position functions primarily in a business office setting and the employee may be required to sit and/or stand for prolonged periods of time, operate a computer, and communicate verbally and in writing. The company operates out of several buildings spread across a multi-acre campus, and satellite offices in the greater metro area. Ability to travel between buildings and customer sites is sometimes necessary. On-call monitoring of business demands is necessary.
