Job Description

Swoon is hiring an R&D Administrative Coordinator for a top client in Chicago!

  • Benefits available: Medical/Dental/Vision

Who will I be working with?

  • Our client is a major producer of packaged food and beverages for distribution in the United States and around the world. The company is dually headquartered in Pittsburgh, Pennsylvania and Chicago, Illinois.

What does the day to day look like?

  • Administrative Management: Streamlining the process for new vendor requests, accurately inputting new vendors into SAP systems, and troubleshooting administrative activities.
  • CAPEX Support: Facilitating CAPEX for R&D to ensure our innovation projects stay on track.
  • Vendor Engagement: Collaborating with internal teams and systems partners to build a strong understanding of systems and managing all new vendor submissions for R&D in SAP systems.
  • Payment Facilitation: Leading the approval of payment terms with procurement, supporting R&D Purchase order writers, and troubleshooting SAP systems payment/administrative activities.


What's required?

  • Exceptional multitasking skills, attention to detail, and the ability to work autonomously.
  • A collaborative mindset and the ability to train and coach others.
  • Excellent communication, influencing, and problem-solving skills, with the ability to deal with ambiguity.
  • A High School degree or GED (Associate's degree preferred).
  • Proficiency in SAP systems is a plus.
  • Proficiency in Microsoft Windows and Office (Word, Excel, Outlook, and PowerPoint) is required.
  • 1-3 years of office experience in an administrative function, with experience in purchase order and accounts payable support preferred.
