Job Description

Project Coordinator, Slate


The ideal candidate will possess experience working in teams and show a strong affinity toward organizing project information. This role supports the day-to-day operations of the Account management and Project management teams. This is an operational role that helps to facilitate project budgets, timelines and milestones for client accounts, and supports the Account and Project teams with internal tasks and special projects.


Responsibilities:


Project Management

  • Manages project budgets and timelines accurately.
  • Works with the Account Managers to ensure that the client project team meets deadlines and launches campaigns on time while meeting the defined strategy and goals of their clients.
  • Coordinates client projects from client onboarding to project planning through completion.


Task and Asset Management

  • Manages the creative development process for projects, including creative requests, appropriate proofing, internal and client routing, gathering approvals, and pushing through to production or internal teams.
  • Masters the use of Asana, effectively and autonomously assigns out tasks to the proper team members, and helps manage the workflow of those cards and overall client boards to ensure client deadlines and turnaround times are met.
  • Supports Account Managers and Project Managers with operational tasks, client work, scheduling meetings, and various project-related initiatives.
  • Ensures quality control of communication strategy, design files, final project deliverables to ensure client satisfaction.


Communication

  • Share call agendas and meeting minutes with client and/or Carnegie team members via Asana.
  • Ensures effective communication with the client and internal teams to define client needs and/or respond to concerns in a timely fashion.
  • Monitors client email correspondence for approvals and asset collection to proactively move projects forward.


Qualifications:

  • Ability to quickly learn new processes and be flexible with process changes.
  • Ability and desire to support team workflow and project management.
  • Time management skills with the ability to meet deadlines to support teams.
  • High levels of integrity, autonomy, and self-motivation.
  • Ability to work under pressure and effectively organize and prioritize responsibilities relative to internal and external projects.
  • Strong writing and communication skills needed to clearly collaborate with team members.
  • Exceptional organizational skills, multitasking capabilities, and attention to detail to effectively review final client deliverables and processes.
  • Due to the remote environment, effective communication and time management skills are required, as well as the ability to use/learn multiple technology platforms and switch between them on a regular basis.
  • Asana experience is a plus.
  • Physical requirement: Prolonged periods of being in a stationary position at a desk and working on a computer.
  • Highly competent in using Google Suites, specifically advanced Google Sheets and Google Slides skills for daily work.
  • Knowledge and interest in the higher education space is a plus.
  • Outgoing, dynamic personality and ability to communicate effectively across teams and all levels.


Experience

  • One year or less of experience in a project management role preferred but not necessary.
  • Bachelor’s degree required, preferably with a concentration in Marketing or Advertising or Project Management.
