Job Description
Overview


Under the direction and oversight of the Director, the Project Coordinator is responsible for the synchronization of all operations involved in the successful completion of a particular project within the Department. Includes maintaining project plans, calendars, dashboards and activities in addition to assisting with the budget and keeping abreast of legal regulations applicable to a project.


Responsibilities


  • Assist in development and maintenance of dedicated project website.
  • Coordinate activities with vendors and suppliers and maintaining relationships with them.
  • Research, update and maintain all federal, state and county regulations applicable to a project.
  • Develop and maintain project dashboards and communicate with stakeholders/leads as defined.
  • Compile summary documents, e.g. communication to stakeholders, senior leadership, project leads, team members etc.
  • Coordinate project meetings and maintain project meeting calendars.
  • Ensure coordination of the interfaces of all corporate support departments, outside stakeholders and team members.
  • Communicating relevant information to all team members, such as change in schedule dates, changes in the project’s requirements, unexpected barriers etc.
  • Assist the Director in various activities such as budget development, monitoring and in meetings with management.
  • Collaborate in maintaining a master project resource binder and filing all project documents (hard and soft copies).
  • Perform other related duties as assigned.
  • Develop and maintain a detailed project plan/schedule which includes administrative tasks and all sites/team members involved in the project; the detailed schedule will include all phases of the project.
  • Responsible to track project changes and produces updated site based/project schedules as agreed with project stakeholder/lead and Director.
  • Ensure that all team members understand the scope of the project as well as what they are individually responsible for including deadlines.
  • Prepare and/or edit meeting minutes, presentations, plans, spreadsheets and tables.


Behavioral Health/Dental Functions


  • In-depth knowledge and understanding of Medical Health Integration Program (MHIP) and City, County, State and Federal regulations as they relate to Outpatient clinics.
  • Support leadership team with coordination and roll out of departmental projects, fiscal management, program operations and logistics, participation in program evaluation, data collection and reporting.
  • The Project Coordinator will also assist with coordination of providing program education to all sites.
  • Serve as a liaison between primary care and dental clinics, clinicians, support staff and leadership team.
  • Ability to collaborate and communicate effectively and positively with all patients, employees, and community partners.
  • Provide Administrative support for Behavioral Health and Dental administration.
  • Implementation of the overall program goals and objectives for the Behavioral Health and Dental lines of business.
  • Preparation and monitoring of Behavioral Health and Dental program reports and policies and procedures.
  • Interfacing with community collaborators.
  • Passing on knowledge of important program processes (i.e. inform of payer changes, organization-wide changes, etc.)
  • Skilled in care coordination and methods, behavioral health screening and diagnostic tools, and outreach.
  • Knowledge of behavioral health and dental practices and operations.
  • Knowledge of HIPAA Guidelines including the PHI privacy requirements


Qualifications


  • Minimum one year of experience in data analysis/project management with successful deployment demonstrating measurable positive results required; two or more years preferred.
  • Bachelor’s Degree in Business Administration, Health Care, Organizational Management, or a related field and two (2) years of related experience required. Work experience may substitute for education requirement.
  • Certified Associate in Project Management or Project Management Professional preferred.
  • Experience in health care process improvement, acquisitions, project management training or business integration highly preferred.
